The role of the Corporate Receptionist is to serve as the primary point of contact for our clients and teams, embodying our commitment to exceptional client service.
Your primary responsibility will be to warmly welcome and assist clients entering our offices, ensuring they feel valued and comfortable.
Managing all incoming calls to the corporate branch, you will skillfully transfer them to the appropriate teams. Extending beyond traditional reception duties, you play a crucial part in fostering positive client relationships, shaping their first impressions, and establishing the tone for their entire journey with us.
Additionally, you will be integral to our client communication strategy, ensuring the delivery of consistent communication plans on behalf of our advisory teams to keep clients informed about current events and industry updates.
By assisting our teams, you enable them to focus on planning and transactional activities, making you an essential extension of our advisory team.
What is the role of the Corporate Receptionist?
- Meet and greet all clients in a kind, courteous and professional manner as they enter the building creating a warm and inviting experience.
- On site duties include receiving and sorting mail, faxes, receiving client drop offs and coordinating delivery to necessary team members and making bank deposits.
- Manage all incoming calls to the corporate branches and transferring to the appropriate teams.
- Respond to client inquiries via telephone, email, and in person in a professional and courteous manner.
- Organizing catering and equipment for meetings and special events in the branch.
- Ensure users of the boardrooms are vacated in a timely manner for other users and follow through to ensure boardrooms are clean and tidy for the next users.
- Maintain confidentiality and discretion while dealing with clients and their information.
- Provide administrative support to the branch team and back up support to specialists.
- Submitting paperwork and providing follow-up to certain tasks as assigned by specialist / advisor.
What are the preferred qualifications for a Corporate Receptionist?
- Minimum 2 years of experience in a receptionist / customer service role, preferably in a Financial Services firm but not required.
- Post-secondary education degree in business, commerce, economics, or related discipline is an asset.
- A genuine interest in developing professionally within the Financial Services industry and willingness to complete industry-related courses.
- Ability to foster and maintain excellent relationships with clients, advisors, branch support staff, IPC Head Office team and other key stakeholders.
- Excellent client service skills to anticipate client needs and follow up in a timely manner.
- Ability to multi-task, prioritize and should be comfortable working in a fast-paced environment.
- Intermediate knowledge of MS Office and Outlook.
- Ability to work from the office environment.
- Knowledge of French is an asset.
