Job Summary :
As the Office Services Supervisor, you will be responsible for supervising the functions of the office related to facility events and supplies, security, other vendor management, cafeteria management and mail room activities.
Your responsibilities include facility management activities including troubleshooting and restoring outages.
Responsibilities :
Responsible for the planning and coordination of day-to-day operations of CSA approved contractors e.g. security team, cafeteria vendor, office moves, meeting room bookings, other special meetings e.
g. team meetings, town halls, committee meetings, etc.
Supervises staff that installs, inspects, repairs, and maintains any building systems including mechanical, electrical, plumbing, HVAC, safety, and waste management.
Works with Facility Manager and Operations Manager(s) on cost management for all expenditures for the facilities operating budget.
Manages the security and the contractor HSSE process.
Tracks facilities service requests and ensures requests are completed within established timelines and quality standards.
Schedules and ensures completion of preventative maintenance activities.
Responsible for the day to day operations and staff of the Mail Room.
Support the implementation of Health, Safety, Security and Environmental initiatives.
Trains team members on policies and procedures including safety.
Provides a wide variety of administrative and staff support services to the organization.
May serve as administrative liaison with others within and outside the company regarding administrative issues related to purchasing, personnel, facilities, and operations.
Conduct performance reviews with supervised staff.
Initiates the Purchase Requisition / Purchase Orders process using IT Systems.
Participates in building emergencies and provides training to key individuals.
Responsible for facilities purchasing credit card.
Calculates and provides facilities accrual information to finance.
Initial point of contact for work ticket system and facilities requests. Prioritize, triage, and assign work as required.
Participates in external and internal audits by providing necessary information and clarifications, explaining procedures, developing compliance plans, seeking approval and acting on recommendations.
Investigates hazards, near misses and incidents in HSSE System to ensure that appropriate investigations are conducted and corrective and / or preventive actions are completed.
Ensure that employee activities and work practices are carried out in a safe manner and without harm to the environment.
Facilitate and ensure meeting room requests are complete as required.
Coordinate workspace and environment for employees, including onboarding, exits and moves.
Provide support of troubleshooting and restoration of services to facility when outages occur.
Qualifications :
University or College Diploma is an asset.
3-5 years related experience.
Previous related work experience in facilities, including project planning, working experience and knowledge of HVAC, electrical, plumbing and building codes and electrical equipment.
Management / supervisory responsibility.
High level of confidentiality and diplomacy.
Computer proficiency (Microsoft Office Suite and keyboarding skills.
Planning and problem-solving skills to handle priority setting and organization.
Ability to communicate at all levels and work collaboratively with outside contractors and other CSA Group employees.
Must hold a valid driver’s license.
