Job Description
We are seeking a highly organized and proactive Administrative Assistant to join our client's team in the non-profit sector.
The ideal candidate will be responsible for overseeing the daily operations of the office, ensuring a smooth and efficient work environment.
This role requires strong administrative experience, excellent multitasking abilities, strong communication skills, and a commitment to maintaining a positive office atmosphere.
This position is hybrid (3 days a week in office) offers 4 weeks vacation, 12 sick days, a benefits and pension plan and more!
Roles and Responsibilities
- Oversee and coordinate all office activities to ensure smooth operations. Manage office supplies, equipment maintenance, kitchen supplies and facility management
- Provide comprehensive administrative support to the team, including scheduling meetings, managing calendars, and handling correspondence
- Organize, set up and execute office events and board meetings
- Provide back up administration support to the front desk
- Manage office budgets, track expenses, and ensure cost-effective operations
- Maintain the orderliness and cleanliness of common office areas (i.e. equipment rooms, storage rooms, kitchens, hallways)
- Other duties as required
Qualifications and Skills
- 5+ years of experience in administration performing similar duties
- Proficiency in MS office tools (Excel, Word and Access)
- Ability to work well under pressure, with minimal general day-to-day supervision, and work independently as well as in a team environment
- Excellent organizational and multitasking abilities
- Strong communication and interpersonal skills
- Ability to establish own priorities, and coordinate and organize a variety of arrangements with others to meet deadlines
