General Summary
Provides administrative support functions to the activities and operations of the firm. Provides office professionalism as this position is the first point of contact for office visitors and telephone calls.
Your primary responsibilities will include :
Essential Duties and Functions
Performs a variety of secretarial duties in support of the administrative activities, operations, and staff.
Performs typing, mailings (registered / regular / etc), faxing, scanning, or photocopying various correspondence or materials as assigned.
Screens and routes telephone calls and responds to inquiries from public, vendors, and clients by referring calls to appropriate personnel.
Assembles and distributed a variety of documents and materials.
Establishes and maintains a variety of records and files related to company operations and activities.
Inventory of office and kitchen supplies. Assures reception and kitchen are neat and tidy.
Operates a variety of standard office equipment, including fax machine, scanners, copier, computer, telephone, scale and communication equipment.
Other duties include data entry and company correspondence.
Books conference rooms as needed.
Performs other duties as assigned.
Schedule
In office, Monday Friday 8 : 30 to 5
Overtime maybe required at times.
A successful candidate will have :
High School Diploma
Previous reception experience a must
Customer service experience a plus
Knowledge and proficiency in Microsoft Suite of products a must
Knowledge of Doc-it and Time Management tools a plus
Requires fluency in English, in addition to French as you will be required to support or collaborate with English-speaking clients and colleagues and / or stakeholders.
Team player as well as independent worker
Strong organizational and time management skills
Discretion and professionalism
