FULL-TIME CONTRACT POSITION
Farmers for Climate Solutions (FCS) is a farmer and rancher-led national coalition working to scale up climate solutions in agriculture.
We advance policy proposals to Canadian governments to better support farmers and ranchers to reduce emissions and build resilience and we encourage farmers to adopt climate-friendly practices through the Farm Resilience Mentorship (FaRM) Program.
FCS is seeking an Operations Administrator to help support all aspects of the organization’s operations. This is an opportunity to work with an energetic, passionate, dynamic team to support policy and on-farm solutions to reduce emissions and build resilience for farmers and ranchers in the face of climate change in agriculture across Canada.
EXPERIENCE WE ARE SEEKING
The description below describes the mandate of the Operations Administrator, and the experience / qualifications needed to succeed in the job.

The Operations Administrator will report to the Director of Operations and collaborate with the rest of the FCS team to fulfil the following mandate.
1. Core HR and operations support :
- Support in ensuring staff compliance with organizational policies and procedures and the Collective Agreement
- Support contractor management
- Onboard new staff
- Draft documents (i.e. policies, instructions, funder acknowledgement letters)
- Keep files,documents organized on shared Google Drive
- Manage the general FCS info@ account, respond to emails, forward to relevant team members
- Support virtual and in-person staff and board retreat planning and logistics
- Conduct periodic surveys on staff needs and satisfaction
Experience / qualifications
- 5 years combined experience in post-secondary and / or professional environment in a related field (ESSENTIAL)
- Ability to communicate in written and verbal English (ESSENTIAL) and French (ASSET)
- Meticulous attention to detail (ESSENTIAL)
- Experience managing work and deadlines independently, while ensuring colleagues are informed and able to contribute as needed (ESSENTIAL)
- Capacity to work in a fast-paced environment, juggle multiple competing priorities (ESSENTIAL)
- Awareness of the diversity of challenges, values, needs and demographics of farming communities and organizations in Canada in the face of climate change (ASSET)
- Post-secondary degree or diploma in related field (ASSET)
2. Financial management support :
- Process expense claims, enter expense transactions in accounting software, file / track receipts
- Process contract payments according to payment schedules
- Maintain accurate financial records
- Support Director of Operations through annual audits
Experience / qualifications
- Experience managing budgets, expense claims, Quickbooks Online and online payment software (ESSENTIAL)
- Experience Managing timely contract payments (ASSET)
- Experience working in Not-for-profit finances, including audits (ASSET)
3. FCS team support :
- Collaborate with team leads to support administrative needs of each work stream
- Assist staff with IT support and troubleshooting
- Assist communications team in keeping photo and video bank organized, tagged, and up to date
- Compile, maintain and update key lists of contacts, partners
- Support logistics of organizing virtual member briefings
- Organize logistics for all team travel (booking transport, accommodations, meals etc.) in coordination with team members
- Attend team meetings and trainings, take and file meeting notes, send follow up emails with action items and ensure follow through from team members
- Manage internal operational communications and announcements to team
- Organize document and swag printing
- Assist in other work to support FCS operations and teams as required
Experience / qualifications
- Solid computer skills and experience using Zoom and Google Workspace, (ESSENTIAL)
- Experience taking detailed meeting notes, summarizing key takeaways and action items and following up on action items with attendees (ESSENTIAL)
- Ability to work collaboratively with colleagues and partners towards a common goal (ESSENTIAL)
- Passion for working with farmers, ranchers and rural communities to fight climate change and build farm resilience (ASSET)
- Experience troubleshooting IT issues (ASSET)
TERM OF EMPLOYMENT AND BENEFITS AVAILABLE FOR THIS POSITION
This is a full time contractual position until September 2026, with possibility of renewal should additional funding be secured.
You must be based in and have the legal right to work in Canada. Benefits available for this position include :

FCS staff work remotely from locations across Canada. Staff require reliable internet service that allows for smooth online video and audio communication.
FCS staff receive a computer, a contribution to a phone plan, and other support to facilitate work from home.
