Position : Property Administrator (Fully On-site)

Job Description :
Our client is seeking a detail-oriented and proactive Property Administrator to join their growing team. The Property Administrator will be responsible for supporting the daily operations and management of assigned properties, ensuring optimal performance and tenant satisfaction.
The ideal candidate will possess strong organizational skills, excellent communication abilities, and an understanding of property management practices.
Responsibilities : Tenant Relations :
Tenant Relations :
- Serve as a point of contact for tenants regarding lease agreements, maintenance requests, and general inquiries.
- Address tenant concerns promptly and effectively, ensuring high levels of tenant satisfaction.
- Coordinate lease renewals, lease terminations, and rental collections.
Property Operations :
- Coordinate maintenance and repairs with vendors and contractors, ensuring work is completed on time and within budget.
- Support with regular property inspections to assess and maintain the physical condition of the property.
- Oversee move-in and move-out processes, including unit inspections and security deposit handling.
Administrative Duties :
- Maintain accurate records of all property-related transactions, leases, and contracts.
- Prepare and distribute notices, letters, and other correspondence to tenants and stakeholders.
- Oversee invoicing and ensure timely payment processing.
- Manage paper and electronic filing systems for efficient record-keeping.
- Liaise with the accounting department to ensure contractors are paid promptly and accurately.
Compliance and Risk Management :
- Ensure compliance with local, provincial, and federal regulations and codes.
- Implement and enforce property policies and procedures to maintain a safe and secure environment.
- Monitor insurance coverage for properties and tenants, as well as claims processing when necessary.
Communication and Reporting :
- Provide regular updates and reports to property owners or management company regarding property performance and operational issues.
- Communicate effectively with colleagues, vendors, and contractors to ensure smooth operations.
Qualifications :
- Post-secondary education in Business Administration, Real Estate, Property Management, or related field preferred.
- Proven experience in property management, leasing, or related field.
- Strong knowledge of property management software and MS Office Suite (Excel, Word, Outlook).
- Excellent communication skills, both verbal and written.
- Ability to prioritize tasks and manage time efficiently in a fast-paced environment.
