Job Description

Our client in the healthcare field is seeking to hire an Events Coordinator to support the planning, coordination, and execution of events.

This role requires exceptional organizational skills, attention to detail, and the ability to handle multiple tasks simultaneously.

The ideal candidate will be a proactive problem solver with excellent communication skills, ensuring smooth and successful event operations. Key Responsibilities :

  • Assist in the development and execution of event plans, timelines, and checklists.
  • Coordinate with vendors, suppliers, and venues to ensure all logistical aspects of the event are managed.
  • Assist in creating and distributing event-related materials such as invitations, agendas, and promotional content.
  • Maintain detailed records of event-related activities and expenses.
  • Manage event calendars, schedule meetings, and handle correspondence related to event planning.
  • Prepare and distribute event reports, summaries, and evaluations.
  • Handle event registration processes, including managing attendee lists and issuing confirmations.
  • Support budgeting and financial tracking for events, including invoice processing and expense reporting.
  • Database management and administration.
  • Administrative support of event execution(i.e., arranging couriers, assembling swag bags, and inventory donations)
  • Provide on-site support during events, including setup, coordination, and teardown.
  • Act as a point of contact for attendees, vendors, and staff, ensuring smooth communication and problem resolution.
  • Coordinate with the marketing team to ensure consistent messaging and branding for events.
  • Collect and analyze feedback from attendees to improve future events.

Qualifications :

  • Bachelor’s degree in Event Management, Hospitality, Business Administration, or a related field preferred.
  • Minimum of 2 years of experience in event planning, coordination, or administration.
  • Previous experience using a CRM system (preferably Raiser's Edge)
  • Excellent organizational and multitasking abilities.
  • Strong written and verbal communication skills.
  • Proficiency in event management software and Microsoft Office Suite (Word, Excel, PowerPoint).
  • Ability to work independently and as part of a team.
  • Strong problem-solving skills and attention to detail.
