Osler is hiring a Client Events Coordinator to join our Toronto Client Development & Marketing Team. We are looking for an energetic, meticulously detail-oriented team player to join our fast-paced Events Team.
This role reports to the Manager, Client Events and provides support in the planning and delivery of exceptional client experiences.
Major Responsibilities
- Provide support to the events team including assistance with the planning and execution of webinars, in-person events and client social events.
- Coordinate client social events and entertainment opportunities, including searching and sourcing of new venues, restaurants, trends etc.
- Provide support to events related to firm sponsorships and conferences including organizing firm attendance as sponsored events.
- Provide day-of onsite assistance for all in-person events including social events.
- Manage the event calendar and event intake forms and checklists, prepare post-event reporting and ROI analysis.
- Utilize Osler event technology to create and send invitations, reminders and to track RSVPs.
- Coordinate the drafting of invitations and the creation of targeted mailing lists.
- Oversee the production of event collateral such as nametags, signage, PPT, handouts, brochures etc.
- Coordinate the firm’s client gifting program, including regularly sourcing new and interesting products.
- Manage event-related email boxes to ensure that requests are answered in a timely manner
Position Requirements
Education and Experience
This position requires a relevant university degree or college diploma, plus two years relevant work experience in planning and executing events.
An equivalent combination of education, training and experience may be acceptable. Experience in a professional services environment is an asset.
Knowledge and Skills
- Event coordination experience (preferably in a corporate environment) with an understanding of event planning and management principles, methods, and techniques.
- Experience with event-related technology including Salesforce, ON24, Zoom, HubSpot desired.
- Proficient with MS Office, including Word, Excel, Outlook, and PowerPoint.
- Strong customer-service orientation.
- Ability to take ownership of projects, as well as multi-tasking multiple concurrent events.
- Superior accuracy, attention to detail, creativity, time-management, and organizational skills.
- Excellent written and oral communication skills
- Creative flair and interest in creating new client events and experiences.
- Bilingual (English / French) considered a strong asset.
- Some overtime is required (executing evening social events)
