THEROLE IN A NUTSHELL
As Executive Administrative Assistant, you will report to and provide primary support to the Executive Vice President- Head of GreenShield Administration, as well as support the GreenShield Administration Senior Leadership Team, and other members of their respective teams.
In this crucial role, you will directly contribute to day-to-day operations and manage the administrative and organizational needs for these departments so that they function smoothly, prioritize their time more effectively and focus on meeting strategic objectives.
- Managing schedules and business travel, including booking transport and accommodations.
- Preparing expense reports and managing and reconciling invoices for external spend and other costs.
- Coordinating and organizing meetings with internal and external stakeholders, including preparing agendas, booking meeting rooms or virtual meetings, and making sure the necessary equipment and items are provided.
- Developing and cultivating collaborative relationships throughout GreenShield including with peers, members of the GreenShield senior leadership team, the directors of various boards and external stakeholders.
- Developing effective systems and processes to assure efficient delivery of information and record-keeping.
- Handling highly confidential and sensitive documents and other matters, ensuring strict adherence to confidentiality protocols.
- Assisting in the preparation of confidential correspondence, documents, and presentations including format and content review.
- Other responsibilities and projects as may be required.
WHO WE'RE LOOKING FOR
- Minimum of 5-7 years of experience working with Senior Executives.
- Post-secondary school degree or diploma.
- Excellent organizational and time management skills with the ability to meet deadlines and manage a variety of requirements and priorities concurrently.
- Excellent communication skills (verbal and written), with keen attention to detail.
- Proficient in using office productivity software (, Microsoft Office suite, PowerPoint)
- Proactive, diplomatic, and confident with the ability to develop, foster and maintain relationships with a wide variety of stakeholders including members of senior leadership team, executive committee and directors of various boards.
- Analytical and critical thinking capabilities.
- Ability to work independently and a strong team player.
- Ability to be discrete and maintain confidentiality and privacy requirements.
- Sound judgment and problem solving skills.
- A high level of initiative, attention to detail and accuracy.
- The ability to travel on occasion if needed.
- Bilingualism (English and French) would be an asset.
