The Investor Relations Team has an exciting opportunity for a Senior Administrative Assistant, reporting to the Vice President, Investor Relations.
This role is responsible for providing office management and administrative support in a professional and confidential manner while working in a dynamic, fast-paced team environment.
The ideal candidate is a self-starter with a strong work ethic, sound judgment, a collaborative nature, is flexible and unflappable under pressure and brings maturity in addition to finely honed organizational skills to the role.
What you’ll do :
Works independently to provide superior administrative support to the Vice President and the Investor Relations team
With a get it done attitude, prioritizes duties and responsibilities while looking out over the fence to future events including Investor Day
Comfortable interacting with senior and executive level management and their assistants to secure alignment of calendars to meet IR scheduling requirements
Works closely with external parties in planning Cenovus’s participation at conferences and roadshows
Manages team calendars, arranges internal and external meetings, coordinates complex travel arrangements and completes conference registrations
Maintains strong relationships with internal and external stakeholders and service providers
Preparation and distribution of correspondence, reports, and presentations
Provides strong support during the quarterly process to the IR Team; including scheduling meetings with the Leadership Team, the Quarterly Test and Results Call and Post Quarter investor outreach
Maintains the Investor Relations annual calendar of events
Prepares the annual budget and monitors the spend and forecast
Ensure communication inquiries (via email, mail, telephone) are received and addressed by the Investor Relations Team in a timely manner
Prepares expense statements and invoices for payment
Coordinates events and team activities
Who you are :
Our ideal candidate will have the following minimum requirements :
Must be legally entitled to work in Canada
10+ years administrative experience
Proficient in MS Office Suite, SharePoint, and willingness to learn other programs
Ability to handle confidential data while exercising discretion and good judgement
Demonstrates poise, diplomacy, discretion and professionalism under pressure
Strong ability to handle multiple tasks and prioritize work to meet deadlines
Aptitude to be resourceful, anticipate needs of the IR Team and suggest improvements to processes where needed
Well-developed team skills and a collaborative working style
Excellent organizational and time management skills
Strong written and verbal communication skills
