Position purpose :
Under the supervision of the Senior Administrative Assistant, provides administrative support to the Centre for Innovative Education in Simulation and Nursing (CIESN).
Performs a variety of tasks to support the School of Nursing's administrative operations. Provides front-line customer service.
In this role, your responsibilities will include :
Faculty recruitment for the CIESN and the School : Coordinates the logistics of faculty hiring processes (e.g. posting, selection, interviewing and onboarding).
Supports the coordination of the recruitment, selection and hiring process for research and teaching assistants (prepares job descriptions and postings, assigns hours, prepares contracts, prepares hiring reports, etc.).
Producing reports : Conducts analysis and research. Compiles data, statistics and other information.
CPR course operations : Answers emails and sends documents to students. Manages online store for CPR orders / courses.
Administrative tasks : Performs a variety of general administrative tasks. Schedules lab course evaluations and post the timetable schedules on Brightspace.
Provides support to organize conferences, workshops and special events. Coordinates faculty meetings, books room reservations and prepares the schedule for part-time professors' meeting rooms.
Coordinates the awards nomination procedure for the School, and supports members in preparing award nominations.
Financial operations : Participates in the billing process (prepares and sends invoices, receives payments from customers and follows up).
Purchasing and inventory control : Supports inventory control of various supplies, monitors demand and replenishes stock.
Records Management : Establishes and maintains an efficient filing and records management system. Maintains control lists of key holders.
Reception : Greets and informs visitors; answers and redirects telephone calls and e-mails.
What you will bring :
Post-secondary training in administration and bureaucracy or an equivalent combination of education and work experience.
At least two (2) years of demonstrated experience in a similar role.
Knowledge and experience of computer systems and software such as Windows, word processing, spreadsheets, Internet and e-mail.
Strong interpersonal, communication and customer service skills.

Ability to work under pressure.
Bilingualism : French and English (spoken and written); to be considered for this position, candidates must be rated at the Low Advanced proficiency level or higher for both oral comprehension and reading comprehension in their second official language.
The rating is determined by a proficiency test designed by the Official Languages and Bilingualism Institute.
