Human Resources Team Coordinator

The Human Resources Team Coordinator is responsible for providing analytical support, logistics coordination and project execution, for the HR Leadership team (HRLT).

The role collaborates with the team and interacts with different people across the company, including Operations, Sales and Marketing, Corporate Services, Finance, Strategy, Sustainability, and Investor Relations.

The position provides direct support including but not limited to developing reports, completing data analysis, supporting logistics and communication within the HR team.

Main Responsibilities

Human Resources Leadership Team Support :

  • Generate reports and conduct targeted analyses under the supervision of the Senior Vice-President (SVP).
  • Manage essential project tracking data efficiently.
  • Facilitate the identification of project interdependencies and key stakeholders, ensuring thorough project tracking and completion.
  • Promote collaboration across departments, particularly in Communications, Legal, and Finance, to maintain prompt internal and external communication.

Operations and logistics :

  • Assist HRLT with calendar management, scheduling, meeting planning, expense approvals, correspondence, and general operational support.
  • Coordinate annual calendar and planning activities to align with HR team objectives.
  • Ensure timely distribution of information and maintain high-quality documentation standards.
  • Manage information for the strategy team, ensuring key documents are stored securely and accessible as needed.

Boards and Comities :

Manage preparation for Board meetings, overseeing the entire process and coordinating with all stakeholders. This includes creating project schedules and initiating actions to ensure deadlines are met.

Responsible for preparing, reviewing, and uploading meeting materials to the board portal (Diligent) in a timely manner for committee members.

Receive and organize highly confidential board materials from clients, both internal and external, ensuring they are presented to the Board and Committees according to strict timelines.

Review the content for clarity and format.

  • Draft agendas and meeting minutes in preparation for Board meetings.
  • Maintain the invitation list for the HR Compensation Committee (HRCC), managing invitations for both internal and external participants as required.

Qualifications :

  • Between 3 to 4 years of experience in project management, coordination and communication
  • Bachelor’s Degree
  • Advanced knowledge of Microsoft Office (Excel, PowerPoint, Word, Outlook, Teams and associated applications)
  • Knowledge of Tableau or similar analytical visualization tool
  • Knowledge of Human Capital Management (HCM) tools such as Workday or Success Factors
  • Fluently bilingual both written and verbal (English, French)

Le coordonnateur de l’équipe des ressources humaines est chargé de fournir un soutien analytique, de coordonner la logistique et d’exécuter des projets pour l’équipe de leadership en ressources humaines (HRLT).

Le titulaire du poste collabore avec l’équipe et interagit avec différentes personnes au sein de l’entreprise, y compris les opérations, les ventes et le marketing, les services généraux, les finances, la stratégie, le développement durable et les relations avec les investisseurs.

Principales responsabilités :

Soutien à l’équipe dirigeante des ressources humaines :

  • Produire des rapports et effectuer des analyses ciblées sous la supervision du premier vice-président (SVP).
  • Gérer efficacement les données essentielles de suivi des projets.
  • Faciliter l’identification des interdépendances des projets et des principales parties prenantes, en veillant à ce que le suivi et l’achèvement des projets soient complets.
  • Promouvoir la collaboration entre les départements, en particulier la communication, le service juridique et les finances, afin de maintenir une communication interne et externe rapide.

Opérations et logistique :

  • Assister HRLT dans la gestion du calendrier, la planification des réunions, l’approbation des dépenses, la correspondance et le soutien opérationnel général.
  • Coordonner le calendrier annuel et les activités de planification pour s’aligner sur les objectifs de l’équipe RH.
  • Assurer la distribution des informations en temps utile et maintenir des normes de documentation de haute qualité.
  • Gérer les informations pour l’équipe stratégique, en veillant à ce que les documents clés soient stockés en toute sécurité et accessibles en cas de besoin.

Conseils d’administration et comités :

Gérer la préparation des réunions du conseil d’administration, superviser l’ensemble du processus et assurer la coordination avec toutes les parties prenantes.

Il s’agit notamment de créer des calendriers de projets et de prendre des mesures pour garantir le respect des délais. Il est responsable de la préparation, de l’examen et du téléchargement des documents de réunion sur le portail du conseil d’administration (Diligent) dans les délais impartis pour les membres du comité.

Recevoir et organiser les documents hautement confidentiels des clients, tant internes qu’externes, et s’assurer qu’ils sont présentés au conseil d’administration et aux comités dans le respect de délais stricts.

Examiner le contenu pour s’assurer de sa clarté et de son format.

  • Rédiger les ordres du jour et les procès-verbaux en vue des réunions du conseil d’administration.
  • Tenir à jour la liste d’invitations pour le comité de rémunération des ressources humaines (CRRH), en gérant les invitations pour les participants internes et externes, le cas échéant.

Qualifications :

  • Entre 3 et 4 ans d’expérience dans la gestion, la coordination et la communication de projets
  • Baccalauréat
  • Connaissance avancée de Microsoft Office (Excel, PowerPoint, Word, Outlook, Teams et applications associées)
  • Connaissance de Tableau ou d’un outil de visualisation analytique similaire
  • Connaissance des outils de gestion du capital humain (HCM) tels que Workday ou Success Factors
  • Parfaitement bilingue à l’écrit et à l’oral (anglais, français)
