Receptionist
Our client in the printing industry is seeking a dedicated and skilled professional to handle a variety of administrative and customer-facing responsibilities.

Responsibilities : Reception :
- Greet, welcome, and direct visitors appropriately, ensuring a professional and friendly atmosphere.
- Manage incoming calls on a multi-line telephone system, providing basic information and forwarding calls as needed.
- Maintain security protocols by monitoring access, maintaining a logbook, and issuing visitor badges.
- Coordinate and schedule meetings and events, including client meetings, ensuring accurate details are communicated and recorded.
- Handle incoming and outgoing mail, including processing courier services.
Office & Records Support :
- Order and maintain office supplies, ensuring inventory is well-stocked and organized.
- Monitor and troubleshoot printer issues, including placing service calls when necessary.
- Sort, file, and archive documents in centralized filing areas, maintaining an organized system.
- Provide customer reporting using Excel and online tools.
- Manage file archiving and retrieval, including interaction with Iron Mountain services.
- Create and label file folders, assist with annual purging / archiving, and support customers in file retrieval across multiple databases.
- Perform data entry tasks accurately and efficiently.
What you will need to succeed :
- High School diploma or equivalent.
- Experience working in a client-facing environment, delivering high-quality services.
- Proficient in Microsoft Office Suite, including Word, Outlook, Excel, and PowerPoint.
- Intermediate computer skills, including internet navigation and Windows Explorer.
- Strong verbal and written communication skills.
- Ability to manage multiple tasks simultaneously with minimal supervision.
- Highly organized with the capability to multitask, prioritize tasks, and work effectively under pressure.
- Ability to be resourceful and proactive in problem-solving situations.
- Professional appearance and demeanor, suitable for a client-focused environment.
- Ability to lift and move up to 50 pounds.
- Strong customer service orientation.
- Accurate data entry and the ability to follow detailed instructions.
