Position Summary :
The Office Administrative Assistant is a key member of our People & Culture team, supporting our growing company by maintaining smooth and efficient office operations.
This role involves managing administrative tasks, ordering office supplies, handling shipping needs, coordinating office meetings and events, and ensuring a welcoming office environment.
As the first point of contact for guests and team members, the Office Administrative Assistant greets visitors with professionalism and assists team members with daily office needs.
This position also offers opportunities to learn about HR functions and contribute to fostering a positive workplace culture.
What you will be doing :
- Greet visitors warmly, ensure they feel welcomed, and assist them with any needs or questions.
- Provide support to team members, offering assistance with office resources, supplies, and other inquiries.
- Help maintain office spaces by managing meeting rooms, stocking the pantry, and ordering supplies as needed.
- Support the IT department in coordinating the collection / sending of equipment.
- Monitoring of the voicemail and general inquiries.
- Coordinate with Building Management for maintenance requests, building access and other inspections, testing, etc. as required.
- Assist the Office Manager with office space bookings and office-wide communications.
- Assist the Office Manager with event and meeting planning
- Manage inventory and order office supplies to maintain well-stocked and record office expenses and track budget.
- Sorting mail
- Perform other administrative duties as assigned.
You have :
- High school diploma or equivalent; additional qualifications as an Office Administrative Assistant or Secretary will be an asset.
- Proven experience as an office assistant or in another relevant administrative role.
- Proficiency in MS Office (MS Excel and MS Word, in particular).
- Excellent time management skills and the ability to prioritize work.
- Attention to detail and problem-solving skills.
- Strong organizational skills with the ability to multi-task.
- Excellent written and verbal communication skills.
- Ability to handle sensitive information with confidentiality and professionalism.
- Physical ability to lift and carry items weighing up to 50 lbs.
The salary offered for this position falls within a specified salary range and will be determined based on a variety of factors, including but not limited to the candidate's experience, qualifications, skills, and the specific needs of the organization.
