Job Description
The Administrative Assistant is responsible for providing day-to-day administrative support to the Relationship Management Team in CPP Investments’ Toronto office.
This will include managing calendars, meetings, expenses, events, presentations, travel, CRM, and group initiatives.
Role-specific Accountabilities :
- General administrative support to the team including coordinating and booking travel arrangements, handling expenses, course registrations, etc.
- Work closely with internal and external stakeholders and assistants to schedule meetings or events in various cities, including room booking and set-up, guest registration and catering orders as needed
- Ensure Relationship Team members are prepared for all meetings and carry forward action items, and are aware of major deadlines
- Edit and proof-read documents, group communication and PowerPoint presentations
- Aid in the collection and processing of advisor and partner information
- Maintain group relevant data in the company’s CRM system
- Maintain an inventory of key external contacts
- Handle sensitive and confidential matters relating to the daily activity of the group
- Work cross functionally as part of a team with other groups and departments
- Work closely with other executive and administrative assistants and teams to increase efficiencies in group support
- Other duties as assigned
Qualifications
- Minimum of 3 years of experience in an Administrative Assistant position; exposure to the financial industry preferred
- University or college degree preferred
- Advanced knowledge of MS Office (Word, Excel, Outlook, Calendar) and comfort and interest in learning new applications
- Experience with calendar management, booking high profile meetings, events and managing the expense reimbursement process
- Experience with CRM is an asset
- Proven attention to accuracy and detail, highly organized with the ability to prioritize and multi-task
- Strong communication skills (verbal and written) and interpersonal skills
- Motivated, energetic, eager to learn, adaptable and professional
- Ability to work in a high performing culture, under pressure and with time-sensitive deadlines
- Able and willing to work flexible hours, as required
