About the Role
As an Engineering Services Coordinator, you will often serve as the first official point-of-contact for new clients and new services for repeat clients.
Your primary responsibilities will involve proposal preparation and internal record keeping. Utilizing our successful, template-driven approach, you will be tasked with crafting proposals that effectively address the needs and requirements of various entities across Canada.
You will need to read and digest requests for proposals (RFPs) from a diverse range of sources and assist managers in responding accurately, thoroughly, and coherently.
This role requires a high level of attention to detail, strong organizational skills, and the ability to work under tight deadlines.
Your work will vary from quick confirmations of standard service deliveries to days of meticulous preparation, editing, and managing addenda.

Job description
This is a hybrid work opportunity based in the Woodbridge, ON office.
Duties and Responsibilities
As a member of our Building Services department, you will be an integral part of our team responsible for providing technical support to our Woodbridge-based office.
Your duties include, but are not limited to :
Internal Support :
- Preparing recurring proposals for condominium reserve fund study updates and unique proposals for engineering services opportunities;
- Assisting with report preparation, meeting minutes, presentation creation, and research activities;
- Responding to requests for proposals from various public and private sector entities across Canada;
- Assisting with proposal writing, assembly, and delivery;
- Tracking project task completion;
- Setting up and following up on electronic filing consistency, timelines, and frequency;
- Ensuring corporate quality processes are followed and identifying where deviations occur;
- Analyzing data for inclusion and presentation to Senior Management and Executives as needed;
- Prioritizing and communicating challenges for task completion both individually and within groups;
- Diarizing and following up on tasks and project milestones;
- Performing other duties as required or needed. External Support :
- Determining consulting needs and re-directing inquiries to appropriate practice area leads or groups;
- Obtaining historical records;
- Maintaining polite and professional communication via phone, email, and mail;
- Ensuring a seamless and positive interaction with clients.
Profile
Qualifications
The ideal candidate for this position will be an effective team player, self-motivated, and capable of working with minimal supervision in an environment with competing priorities.
Additional qualifications include :
- Minimum secondary school graduate, with post-secondary education or courses related to Business Administration or similar preferred;
- Excellent organizational and time management skills to respond to changing priorities and handle multiple tasks to support a large number of technical staff and managers;
- Strong customer service orientation with a positive attitude toward client satisfaction;
- Ability to carry out detail-oriented tasks accurately and independently;
- General interest in building construction, operation, and evaluation;
- Highly proficient with MS Word, Outlook, Excel, and PowerPoint.
- Familiarity with Office, MS Teams, or Deltek is considered an asset;
- Excellent English verbal and written communication skills, with French language skills considered an asset;
- Willingness to work in a team environment, assisting team members and contributing to the overall objectives of the team;
- Ability to handle pressure during tight schedules and busy seasons;
- Possession of a valid driver's license and access to a vehicle with valid registration and insurance.
