We are seeking an Executive Assistant to support the Executive Vice President.
You will provide administrative support and drive efficiency and effectiveness by providing a wide variety of support to the Executive Vice President and the Team.
You must have a strong and winning mindset and enjoy working within an environment that is mission and results driven. You must have experience managing an extensive range of executive and administrative tasks of a sensitive and confidential nature and be capable of working independently.
You will be highly organized, resourceful, proactive, and actively contribute to the day to day functioning of the team.

Responsibilities
- Completes a broad variety of administrative tasks including managing an extremely active calendar of appointments; completing expense reports;
- composing and preparing correspondence that is sometimes confidential; arranging complex and detailed travel plans, itineraries, and agendas;
and compiling documents for meetings.
Plans, coordinates and ensures the Executive Vice President's schedule is followed and respected. Works closely with the Executive Vice President to keep him well informed of upcoming commitments and responsibilities, following up as appropriate.
Provides a bridge for smooth communication between the Executive Vice President's office and internal departments; demonstrating leadership to maintain credibility, trust and support with senior management staff.
Participate in tracking certain special projects.
Create and manage files and records that contain confidential information.
Adequately respond to information requests in an autonomous manner.
Take initiative, manage administrative records according to priorities.
Act as a reference for IT and facilities requests and team member support.
Prepare payment requisitions, manage expense accounts and ensure administrative monitoring of the budget.
Perform all tasks of a similar or general nature requested by leadership or required for the job.
Assists with the onboarding of new employees to the team.
Qualifications
- Prior experience supporting C-Level Executives preferred
- Financial Services industry experience is an asset
- Bilingual* (English / French) is required
- Proficient in Microsoft Office (Outlook, Word, Excel and Power Point)
- Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
- Very strong interpersonal skills and the ability to build relationships with stakeholders, including fellow employees, board members and external partners.
- Demonstrated proactive approaches to problem-solving with strong decision-making capability
- Emotional maturity, highly resourceful team-player, with the ability to also be extremely effective independently
- Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer / client service and response
- Demonstrated ability to achieve high performance goals and meet deadlines in a fast- paced environment
- Flexible schedule and willing to be in office 3-4 days per week
- Professional working proficiency in French and English languages required as position involves frequent written and oral communication on complex matters with internal and external parties in both languages.
