What will you do?
- Assist in the management of all users, dealing with day-to-day questions and concerns, including billing issues, accounts receivable (AR), accounts payable (AP), vendor purchase orders (PO), lease administration, user requests, service amenities and telecommunications, among others.
- Maintain, track and report on service contracts and fee schedules.
- Manage parking processes including parking agreements, maintain tracker, ensuring compliance and resolving issues.
- Provide accurate and timely AR and AP reporting.
- Assist with the development of asset plans.
- Assist with the coordination of Allied’s ESG initiatives
- Assist with the day-to-day management of properties and coordination of vendor work.
- Liaise with Technical Services team members to ensure user concerns are addressed in a timely manner and service levels are maintained.
- Collaborate on user appreciation ideas and events, waste reduction initiatives and tenant survey requirements.
- Provide excellent customer service to all users, vendors and colleagues.
- Build strong relationships with users through regular interactions and Allied’s User Engagement Program.
- Ensure timely completion of all property related information requests and filing.
- Assist during emergencies and keep emergency plans up to date.
- Assist Property teams with user focused communications, projects and programs.
- Embody and support Allied’s safety and security program.
- Other duties as assigned.
What are we looking for?
- At least 2 years’ customer service, hospitality or administrative experience.
- Previous Yardi experience an asset.
- Exceptional customer service skills.
- Strong verbal and written communication and people skills, including a proven ability to build relationships.
- Strong computer skills with excellent knowledge of MS Excel and MS Word.
- Strong organization and multi-tasking skills.
- Ability to work under pressure in a fast-paced environment.
- Team player attitude.
