Job description

An opportunity has arisen to join our clients Corporate Real Estate team as a Facilities Manager. The Facilities Manager will provide operational management of all the clients facilities and infrastructure across Canada. The position will oversee building operations, tenant services and provision of quality maintenance services. The Facilities Manager will also direct and oversee trade and maintenance staff, external contractors and work with stakeholders across the organization to develop and deliver quality and timely services.

Key deliverables include :

  • Oversee the ongoing management and operation of an extensive office, aviation and industrial portfolio, including contractor supervision, administration of operating contracts, and preparation of annual operating and capital budgets.
  • Manage all contracts to ensure they are reviewed on a regular basis and are bid out as required; verify that invoices match contract pricing.
  • Thoroughly familiar with all management contracts and all requirements contained therein.
  • Supervise all maintenance and asset management programs relating to the interior and exterior conditions and appearance of the properties.
  • Respond positively and promptly to requests from building tenants and occupants.
  • Oversee the implementation of ongoing contract programs to constantly assess tenant and occupant needs and to ensure problems are being solved promptly to the mutual benefit of the tenant, client, and the properties in accordance with contract scope and Service Level Agreements (SLA’s).
  • Maintain regular communication with the Senior Manager, Corporate Real Estate including preparation and maintenance of monthly reporting on a wide range of matters.
  • Work closely with the Senior Manager, Corporate Real Estate to ensure clear handoff from the project teams to operations and maintenance resources.

Ensure all corporate policies and procedures are effectively communicated and implemented.

  • Excellent communication with staff, tenants, contractors, support personnel, leasing agents, senior management and owner’s representatives.
  • Effectively develop and maintain strong tenant relations through regular interaction, property visitations and property inspections.
  • Implement and follow through with owner asset programs and property inspections.
  • Provide guidance and direction to your team to ensure internal / external client satisfaction.
  • Initiate purchase order requests for goods and services.
  • Manage subcontractors and suppliers to deliver goods and services against contracts and expectations.
  • Administer training to ensure compliance, readiness and competency of staff.
  • Drive and promote safety culture within portfolio including subcontractors, suppliers and visitors.
  • Work with building operation contractors to oversee the delivery of maintenance and repair services.
  • Experience and qualifications :

  • Minimum eight years’ experience as a Facilities Manager, Chief Engineer or equivalent including managing teams, budget responsibilities, supplier / contractor management, problem solving, and client / customer relations.
  • Bachelor’s degree or College Diploma in Real Estate or Property Management preferred.
  • Power Engineering designation with management experience would be considered an asset.
  • Advanced knowledge using MS Project, PowerPoint, Excel, Word and Visio.
  • Thorough knowledge and understanding of budgeting principles and processes.
  • Must have solid knowledge of building / mechanical, electrical systems (MEP).
  • Experience in leasing, construction, engineering and all facets of property operation and building management preferred.
  • Experience with critical system environments desired.
  • Experience in the development and implementation of programs to drive out cost inefficiencies preferred.
  • Highly self-motivated and directed, with a demonstration of providing exceptional internal and external customer service.
  • Excellent written and oral communication skills, demonstrated through effective meeting facilitation, business documentation, presentations, and active listening.
  • Management skills relating to leadership, performance management, and tenant relations.
  • Strong analytical skills and knowledge in accounting procedures and account reconciliation.
