We are offering an opportunity for an Administrative Coordinator in the Interior Design industry, located in Toronto, Ontario. In this role, you will be a key member of our team, handling a variety of administrative tasks to support internal project managers and external suppliers, as well as coordinating projects and managing communication.
Responsibilities :
- Oversee the scheduling of deliveries, projects, and meetings to ensure smooth operations.
- Manage communication effectively with internal and external stakeholders.
- Utilize Quickbooks Online for accurate and timely invoice entry.
- Direct all incoming calls to the appropriate individuals to ensure efficient communication.
- Oversee the coordination of various projects, ensuring deadlines are met and tasks are prioritized properly.
- Accept and process payments in a secure and timely manner.
- Maintain precise records of all administrative activities.
- Utilize Microsoft Excel, Outlook, and Word to manage and streamline administrative tasks.
- Proficiency in answering inbound calls and handling queries effectively.
- Demonstrated experience in managing calendars, scheduling appointments, and coordinating meetings.
- Excellent communication skills, both written and verbal.
- Proficiency in using Quickbooks Online for managing financial tasks.
- Proficient in using Microsoft Excel for data analysis and report generation.
- Familiarity with Microsoft Outlook for managing emails and scheduling tasks.
- Proficient in using Microsoft Word for creating and editing documents.
- Previous experience in an administrative office role.
- Demonstrated skills in administrative management including organizing, planning, and prioritizing work.
