Position Overview :
They are seeking an In-House Legal Real Estate Coordinator (Paralegal) to join their busy real estate management team and fully coordinate the administration of all the leases in their portfolio.
You will report directly to the Director, Legal Real Estate, and work with a small team who manage all the legal requirements of the organization's real estate.
This role includes managing a high-volume, and critical responsibility and workflow that includes preparing lease-related documents and maintaining various lease expiries within content management systems.
The candidate should be proactive and inventive to support the department's responsibilities and improve effeciencies.
Principal Accountabilities :
- Contribute to the ideal climate of the organization by fostering regular progress toward achieving our Climate Goals.
- Negotiate ancillary lease documents (storage agreements, landlord consents, estoppel certificates) to incorporate the company's standards with minimal supervision.
- Coordinate all aspects of Legal Real Estate’s use of Real Estate Management software and resulting spreadsheets from both a technical and functional perspective to ensure all data is accurately captured and critical lease deadlines are met.
This includes interpreting lease documents to extract the correct information to be added to the lease database management system for financial and other reporting purposes.
- Coordinate, track, and report on the status of lease agreement documentation to its full execution and ensure all fully executed lease agreement documentation is appropriately actioned.
- Maintain effective relationships with internal partners in Finance and IT to ensure internal reporting deadlines are met and work on required software updates.
- Leverage data to manage communications with external stakeholders, including landlords and franchisees (opening letters, statements of account, notices, etc.).
- Responsible for the leasing filing system and documentation and streamlining of leasing processes and procedures, with a focus on leveraging new technology.
- Provide administrative support to the leasing team in all activities related to new restaurant development, including the allocation of files with consultation as required from the Director of Legal Real Estate.
Qualifications :
- Completion of a paralegal program or equivalent training or experience, with one to two years of experience in a similar role.
- Thorough understanding of leasing, commercial and contract law, and general legal principles, including the ability to understand and interpret the terms of a commercial lease.
- High level of organizational and time management skills.
- Keen attention to detail and ability to spot errors in legal documents and databases.
- Exceptional written communication and interpersonal skills; fluency in French would be an asset.
- Thorough understanding of computer software and general word processing, including Microsoft Office (Word and Excel) and Google collaboration tools.
Knowledge of real estate management software such as Lucernex, ActionStep, or similar would be a considerable asset.
Compensation and Benefits :
- Salary : $70,000 - $80,000 depending on experience
