Baker Tilly KDN is seeking a skilled Senior Administrative Assistant. Are you attentive to detail, responsible and want to play a part in the success of our firm?
As a key contact, the role of the Senior Administrative Assistant is to provide quality administrative and organizational support, to the Firm and typically for three to five Partners.
Senior Administrative Assistant’s work alongside the Partners to proactively support their day-to-day needs and management of the client.
This role reports to the COO and is part of the Administrative Team.

What would you be doing?
- Collaborating with administrative team and providing backup when needed. Must be affluent in all current duties of our Admin Assistants.
- Managing calendars, scheduling appointments, coordinating meetings, and handling correspondence (emails, letters, phone calls) on behalf of partners.
- Assembling and / or reviewing all documents, reports, presentations, and proposals for meetings and client presentations.
- Serving as a point of contact for clients and internal team, answering enquiries, and relaying messages between clients / team and partners.
- Work with Office Admin Manager on all month end deadlines and be proactive in managing directly with preparers and Managers.
- Duplicate email inbox so can answer questions for the Partner.
- Proactive with clients to bring in their work.
- Schedule client year end meetings.
- Set up Client Onboarding Meetings, work with Marketing on events.
- Assist with Client Onboarding to ensure positive experience and information set up.
- Arrange meetings, setting up meeting rooms, testing AV, providing all documents required, preparing agenda, and taking meeting minutes if requested.
Follow up on action items.
- Assisting with special projects, complex documents, research, data analysis, and preparing reports.
- Assist with invoicing and management of WIP, be proactive with invoicing and AR (working with AR team).
- Complete tasks such as CRA Calls; OAR filing; CDA Elections; CPD Certificates and management.
- Organizing travel itineraries, booking flights, hotels, and transportation. Prepare expense forms as needed.

- Demonstrated ability to engage in exceptional interpersonal relations with clients and team members
- Accuracy, precision and acute attention to detail are essential
- Ensures professionalism, discretion, integrity and tact in performance of duties
- Adaptable, positive can-do attitude and ability to juggle multiple priorities
- High collaboration with existing team members
- Excellent time management, position is involved with tight and fixed deadlines
Who is our ideal candidate?
- Bachelor’s degree or equivalent work experience with administration and accounting acumen.
- 2-4 years’ experience as an executive assistant, Senior Administrative assistant, or similar role.
- Previous experience working in a partnership or professional services firm supporting multiple senior staff
- Strong organizational and time management skills.
- Excellent communication skills, both written and verbal.
- Proficiency in office software, including Microsoft Office Suite.
- Attention to detail and the ability to multitask.
- Discretion and the ability to handle confidential information.
- Adaptability and the ability to work well under pressure.
- Professionalism and a customer-service-oriented mindset.
- Experience in public accounting is desirable.
- Familiarity with CaseWare and Tax Prep applications are an asset.
