Position Overview

We are seeking a highly organized and proactive Executive Assistant to provide comprehensive support to our executive team.

The ideal candidate will possess exceptional communication skills, a keen attention to detail, and the ability to manage multiple tasks efficiently in a fast-paced environment.

This role requires a high level of professionalism, discretion, and the ability to anticipate the needs of our executives to ensure their success.

Your Role :

Senior Leader Support

Effectively manages the calendars of assigned senior leadership team members ensuring their schedules are current, conflict free, and that agendas are planned as proactively and efficiently as possible.

Coordinates, prepares and distributes support materials in advance of upcoming meetings.

Manages the daily schedule of the Senior Leader(s), bringing to their attention any matters that require immediate action.

Provides responsive and proactive support in managing all requests from supported senior team members. These requests will vary, but may include preparation and coordination of reports, communications, spreadsheets, client correspondence and meetings.

Coordinates meetings; including booking meetings, meeting set-up, preparing agendas and other material as required, coordinating logistics, ensuring all support material are distributed in advance and taking minutes, as required.

Organizes and may participate in off-site strategy sessions and annual planning reviews. Researches and books logistics, prepares agendas, takes minutes and follows-up on action items.

Completes expenses in an accurate and timely manner.

Handle confidential information with discretion and professionalism.

Travel Support

For both domestic and international travel arrangements, ensures complex flight arrangements, accommodation and other travel related requests are well managed.

Develops itineraries that are well thought out, and ensures travel is booked in advance and clearly communicated to the traveller.

Provides travel related monitoring and assistance outside of business hours when needed.

Act as subject matter expert on CWT online portal (myCWT) to all travellers as needed.

Support complex travel requirements of employees that otherwise do not have executive assistant support as needed.

Additional Support

Provides support to other members of the senior leadership team, including visiting leaders from other countries, ensuring their stay is pleasant and that all issues are proactively addressed.

Participates in a team environment to provide coverage for vacation or absences for other team members.

May be required to work longer hours from time to time to meet the exigencies of the situation.

Your Profile :

Post-secondary education.

Strong command of the English language

Proven success in similar role supporting senior leaders within the financial services / insurance industry.

Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.

Ability to work independently and collaboratively in a team environment.
