Job Description
The Centre for Addiction and Mental Health (CAMH) is seeking a full-time, permanent Department Secretary to work in outpatient Geriatric Mental Health Services (GMHS).
Under a matrix reporting relationship between the Manager and Administrative Supervisor, the successful candidate will work collaboratively with an inter-professional team to provide administrative / clerical duties to a team of physicians and clinicians in order to ensure the smooth and effective operation of the service.
Duties will also include providing specific support to a clinic specialist comprising follow-up and coordination of clients requiring follow up care.
Responsibilities will include, but are not limited to : document preparation and inter-programmatic correspondence, responding to internal and external inquiries, taking minutes, maintaining office supplies, compiling data, and booking and rescheduling appointments.
You will be accountable for the accuracy and management of clinic charts and the organization of clinic schedules for a group of physicians.
This position works closely with clinicians, psychiatrists, community service providers, client’s representatives, clients and families, both in person and over the telephone.

This position may require flexible hours and will be part of the Geriatric Mental Health Services Admin Support Team. This position is located at 80 Workman Way.
Minimum Requirements
The successful candidate will possess a one-year Community College diploma in Office Administration or a related discipline, combined with two (2) years of secretarial / administrative experience.
You will have excellent interpersonal and communication (verbal and written) skills and an understanding of the importance of customer service in a busy clinical environment.
You will have sound analytical and problem-solving skills, and possess strong administrative skills. You must be proficient with Microsoft Office applications such as Microsoft Outlook, Word, Excel and PowerPoint to support the department’s activities.
Experience in a healthcare environment and using Cerner I-CARE (PowerChart and Scheduling) is required. Excellent written and verbal skills are necessary.
You will have the ability and experience in dealing with clients, staff, volunteers and other internal and external agencies from diverse cultural and ethnic backgrounds.
You must demonstrate sound judgment, high levels of tact and diplomacy and be able to respond to customers professionally and politely while creating a welcoming and comfortable environment.
The ideal candidate will also be creative and flexible with regard to types of tasks and a team player with a high degree of initiative.
Must be able to work under pressure and deal with conflicting priorities and deadlines. Bilingualism (French / English) and / or proficiency in another language is an asset.
