SUMMARY DESCRIPTION :
The HR Coordinator at Lachine assists with the day-to-day human resources and administrative duties associated with the Lachine plant in Montreal.
The HR Coordinator manages the administration of the HR policies, procedures and programs including facility safety. Originates and leads HR practices and objectives that will provide an employee-oriented, high performance culture.
MAJOR RESPONSIBILITIES :
Development of the Human Resources Department
- Assists with the development and administration of programs, procedures, and guidelines to help align the workforce with the strategic goals of the HR Department.
- Participates in developing department goals, objectives, and systems.
- Participates in department staff meetings and attends other meetings / seminars.
Human Resource Information Systems
- Processes weekly payroll for Lachine hourly employees, including weekly updating and sign-off of individual timecards in UKG with shift changes, overtime and both shift and attendance premiums.
- Maintains Workday (HCM) for the Lachine Plant. Prepares and analyzes reports that are necessary to carry out the functions of the department and company.
Prepares periodic reports for management, as necessary or requested.
- Fully utilizes Human Resources software to the company's advantage.
- Partners with accounting and corporate payroll to maintain the payroll data base.
- Collaborates with Plant Leadership to ensure understanding of key HR Metrics (i.e., Absence Rate, Cost per Hire, Involuntary and Voluntary Turnover Rates, Overtime Expense, Temporary Employee Percentage, Tenure, Time to Fill, Training Expenses per Employee, and Voluntary and Involuntary Turnover.
Training and Development
Assists with utilizing of the Learning Management System (LMS) which includes safety training and human resources training.
Loading of monthly training modules and generation of statistics and payouts through payroll.
- Ensures plant employees are completing required training per established deadlines.
- Continues to access company training needs including new employee onboarding, management development, production cross-training, and safety.
- Assists managers with the selection and contracting of external training programs and consultants when needed.
- Provides necessary education and materials to managers and employees including workshops, employee handbooks, and standardized reports.
- Maintains employee training records.
Employment
- Manages the recruitment process for hourly and salaried employees using the procedures necessary to recruit and hire a .
- Conducts the when needed staff is identified.
- Reviews resumes for all candidates and interview hourly candidates for employment.
- Serves on employee selection meetings and the safety committee.
- Once the weekly schedule is posted by operations, HR will identify and contact the employees (full time or agency) necessary to ensure all positions are staffed.
Employee Relations
- Assists with the development of Human Resources policies for the company regarding employee relations and safety.
- Partners with management to communicate Human Resources / Safety policies, procedures, programs and laws.
- Promotes and maintains corporate programs that foster employee engagement, for example, employee Referral Program, Leading by Example Program, Charitable Giving Program, and others.
- Recommends employee relations practices necessary to establish a positive employer-employee relationship and promote a high level of employee morale and motivation.
- Participates in the conduct of investigations when employee complaints or concerns are brought forth.
- Advises managers and supervisors about the steps in the of the company. Counsels managers on employment issues.
Safety
- Maintains the Corporate Safety Manual for the Lachine plant. Ensures that site specific programs are written and maintained.
- Assists with the implementation of company safety and health programs. Tracks and posts CNESST-required data and files reports.
- Assists in facilitating required monthly safety meetings and other plant wide initiatives as determined appropriate. Circulates minutes of these meetings and ensures timely follow-up on action items.
- Ensures all monthly safety training is completed and documented for all members of the staff.
- Administers and publicizes the corporate Safety Bingo program at the plant.
- Administers all Safety Draws and Safety Lunches / Dinners at the plant.
- Maintains and completes all monthly safety statistics for the facility.
- Actively promotes and engages a culture of safety.

Plant Administrative Duties
- Meeting and greeting visitors to the Plant. Directing the use of iLobby as required
- Answering and directing incoming calls.
- Document filing as required.
- Receiving and distributing incoming front office mail and courier.
- Organizing outgoing postal and courier shipments.
- Ordering and organizing office supplies.
- Receiving and scanning invoices for Accounts Payable.
Legal Compliance
- Complies with all existing governmental and labor legal and government reporting requirements with the CNESST and other government agencies.
- Maintains minimal company exposure to lawsuits.
- Protects the interests of employees and the company in accordance with company Human Resources policies and governmental laws and regulations.
Organization Development
- Assists with organization development that addresses succession planning, workforce development, , and .
- Assists with employee communication and feedback through such avenues as company meetings, suggestion programs, employee satisfaction surveys, newsletters, employee focus groups, and one-on-one meetings.
- Helps monitor the so that it supports the attainment of the company's goals and promotes employee satisfaction.
- Assists with the including the wellness, training, environmental health and safety, activity, and culture and communications committees.

EDUCATION :
Required : High School Degree or GED
Preferred : Bachelor’s Degree or CEGEP in HR, Business or equivalent : HR Certification.
EXPERIENCE :
Required : 3 years of HR experience
Preferred : 5 plus years of HR leadership experience
SKILLS : Required
Must be bilingual (English / French)
- General knowledge of employment laws and practices.
- Experience in workers compensation claim processing and legalities
- Excellent computer skills in a Microsoft Office environment.
- Effective oral and written communication.
