As a Senior Intake & Clinical Associate with VCH you will :
- Work in a team-based environment and provide supervision and work direction to designated clerical staff.
- Be responsible for providing a variety of administrative, clerical and other related duties for designated team(s) in the operation of day-to-day activities and long range planning across multiple sites.
- Support your team by performing duties including preparing community and team intake referrals, nursing & allied staff rotations, maintaining staffing schedules and records on regular and relief staff and processing accurate timekeeping records.
- Maintain the designated team’s appointment calendar, screen incoming mail and calls, maintain the accuracy and integrity of statistical records and reports, arrange ongoing education lectures and process petty cash reimbursements and education funding requests.
- Arrange and participate in meetings, prepare agendas and take minutes.
- Prepare technical and non-technical material utilizing word processing, spreadsheets, graphics, database applications and clinical information systems such as MS Word, PowerPoint, Excel, Access, PCIS Last Word, CareConnect, e-Pro, MS-Outlook, LOKI and PARIS.
- Perform reception duties, maintain sufficient levels of general office supplies, oversee the modification, maintenance and purchase of equipment and set up and maintain department filing systems.
Qualifications
Education & Experience
Grade 12, graduation from a recognized secretarial program, plus three (3) years’ recent related experience, including one year in a supervisory capacity, or an equivalent combination of education, training and experience.

- Ability to communicate effectively both verbally and in writing.
- Ability to deal with others effectively.

- Ability to supervise.
- Physical ability to carry out the duties of the position.
- Ability to operate related equipment.

The hours of work including days off and work area may be subject to change consistent with operational requirements and the provision of the Collective Agreement and applicable statutes.
Successful applicants may be required to complete a Criminal Records Review Check.
As per Ministry of Health policy, all health care workers working in publicly-funded health care facilities are required to report their past receipt of certain vaccines or history of certain infections.
Collecting these records will allow for offering of any missing vaccines, and for appropriate actions to be taken in the event of any future exposure to a communicable disease or during outbreaks.
