About the Role
We are seeking an organized and self-motivated individual to fill the role of Executive Assistant. The Executive Assistant provides high-level administrative support to the CEO and the executive team, ensuring efficient operations and communication within the executive office. We are looking for someone who matches the energy of our executive team and is in lockstep with them.
This role requires a proactive, organized, and adaptable individual who can effectively manage competing priorities and maintain confidentiality while handling a wide range of administrative tasks.

Key Responsibilities
- Calendar & Schedule Management :
Manage the executive's calendar by scheduling appointments, meetings, and events.
Prioritize and coordinate conflicting requests and demands.
Organize travel arrangements, including flight bookings, hotel accommodations, and itineraries.
Act as the primary point of contact for internal and external communications.
Draft, proofread, and send professional correspondence on behalf of the executive.
Schedule and coordinate meetings, conferences, and presentations.
Prepare agendas, meeting materials, and ensure timely follow-ups on action items.
Take meeting minutes and distribute them as needed.
Prepare and manage confidential documents, presentations, reports, and other materials for executive meetings.
Organize and maintain filing systems, both digital and physical.
Assist with special projects, research, and ad-hoc tasks as directed by the executive.
Track project timelines and ensure deadlines are met.
Process and track expense reports and invoices.
Assist with budget planning and ensure financial records are kept up to date.
Build and maintain positive relationships with internal and external stakeholders.
Provide assistance in client meetings and maintain client relationships.
Handle sensitive information and confidential matters with discretion and professionalism.
Ensure smooth in-office operations by handling all office supply requirements, including hardware requests, maintaining beverage and snack supplies, and arranging for catering when required
Manage applicable vendor expenses through online payment portal
Liaise with building administration for key card access activation / deactivation, facility bookings, and any other office / building issues or concerns
Plan and organize company functions such as all-hands meetings, holiday and other corporate events
Provide onboarding and offboarding support to remote-based employees and new in-office employees by arranging for hardware delivery / retrieval, office access, etc.
Organize the distribution of company swag materials to employees
Interact with and provide assistance to sublet companies within our office space as needed
Handle all incoming and outgoing mail, arranging for courier pickup as needed
