Position : Executive Assistant Location : Downtown Toronto, hybrid work environmentOur client, a leader in their field is currently recruiting for an EA to support the Executive team with a broad range of responsibilities.

Responsibilities include but not limited to : - Calendar management, arranging meetings, travel, minute taking, email and phone communications management and document management.

  • Board meeting preparation including preparing agendas coordinating and attending Board and Executive committee meetings, document minutes and action items and distribute notes and action item follow up.
  • Create and prepare Power Point presentations for Board meetings and Executive reviews and other needs.- Assist with special projects and initiatives, conducting research, tracking timelines and deliverables.
  • Maintain high confidentiality and professionalism in all interactions. - Execute other duties as required.Skills and Education : - Bachelor's degree in business administration or related field, or equivalent experience.
  • Experience : 5+ years of experience in an executive or administrative support role, ideally within a corporate or Board setting, financial services an asset.
  • Detail-oriented, proactive, and highly organized.- Demonstrates a high degree of discretion and professionalism in handling confidential information.
  • Experience with minute taking- capturing key discussion points, decisions, and actions in Board and executive meetings with accuracy and professionalism.
  • Highly Proficient in creating PowerPoint presentations.- Excellent written and verbal communication skills, including the ability to draft polished correspondence and communicate effectively with C-suite and Board members.
  • Exceptional ability to manage multiple priorities, meet deadlines, and maintain accuracy in a fast-paced environment.- Ability to maintain high attention to detail.
  • Advanced knowledge of Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and video conferencing tools.- Familiarity with board governance principles and procedures an asset.
