Position Summary
Medical Secretary II, Genetics Program
Your goal in this position is to provide medical secretarial duties for the Genetics Program, including support to Medical Geneticists and counselling staff.
You will organize patient related activities for the program. You demonstrate organizational and problem solving skills with the ability to work in a fast paced environment.
You have excellent written and verbal communication skills, and the ability to communicate effectively with staff, patients and public.
This position supports the Hospital’s academic mandate by advancing care through teaching and learning and / or transforming care through research and innovation.
This position contributes to the shared responsibility of ensuring health and safety policies are followed to provide for a healthy environment for staff, physicians, volunteers, learners, patients and families.
On a practical level, you will
- Receive and process patient referrals, schedule patient appointments and receive patients
- Initiate appropriate billing process and provide follow-up when needed to complete the process
- Answer and respond to telephone inquiries in a sensitive and professional manner
- Prepare correspondence for Medical and genetic counselling staff, including word processing, faxing, photocopying, chart preparation and filing
- Maintain communication between staff and patients, and hospital departments and services
- Organize and maintain office supplies, equipment and records
- Arrange meetings by scheduling members, prepare agendas, book rooms and equipment
Qualifications
- Ontario Secondary School Graduation Diploma or equivalent
- Medical Secretary Diploma (Community College or equivalent) required or recent related equivalent experience
- Minimum of 3 years secretarial experience in a medical environment, with preference given for experience in a hospital ambulatory setting.
- Experience working as part of an interdisciplinary team essential
- Accurate typing speed of 60 wpm
- Ability to use office equipment including personal computer, computer software, microfilm reader, Dictaphone, videoconference equipment (OTN)
- Proficiency with medical terminology
- Experience with Cerner, Powerchart and Shire software
- Proficient computer skills using a variety of computer programs (including Microsoft Word, Excel, Microsoft outlook calendar)
- Bilingualism in French / English an asset
