What is the opportunity?
As the Executive Assistant supporting a Regional Vice President, Commercial Financial Services, you will provide in-depth support in day-to-day management of the team in Greater Toronto Region.
The primary purpose of this role is to help the RVP maximize their time against top priorities with their senior leadership team and in the market, impacting client loyalty, employee engagement, and business results.
You will proactively recommend and implement changes to improve efficiency, assist with reporting analyses, and build relationships with internal partners to support the work of the RVP.
What will you do?
- Plan and monitor critical aspects of the market, such as operating expenses, staff cost budgets, the business unit's recognition programs, client and staff event management, and internal regional communications processes;
- Provide support to plan, organize and administer the RVP's calendar and ensures pre-preparation for all bookings;
- Prioritize the RVP's time against the highest impact activities;
- Actively manage incoming and outgoing correspondences and act as a point of contact between executives and employees / clients;
- Support the RVP with risk and compliance requirements, transit routines, and overall market office operations;
- Prepare the RVP for weekly, monthly and quarterly reviews & routines, including electronic documentation management and all information reporting; and
- Coordinate timely RVP priorities and activities amongst the Admin Assistants that support the VPs and teams who report into the RVP .
- Uphold a strict level of confidentiality.
What do you need to succeed?
Must-have :
- 3 - 5 years' experience providing administrative support at the executive level.
- Advanced knowledge of Microsoft Office (Outlook, Word, Excel, and Power Point), Adobe Acrobat, and Social Media web platforms.
- Demonstrated proactive approaches to problem-solving with strong decision-making capability.
- Very strong interpersonal skills and the ability to build relationships with stakeholders, including staff, clients, external partners and donors.
- Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
- Highly resourceful team-player, with the ability to also be extremely effective independently.
