Essential Function
Provide HR expertise to CosmoProf, Sally and Cosmoprof Distribution HRBPs, Field Leaders and Support Centre teams on third-party providers, and the employment laws across the provinces in which the Company operates.
Conduct Employee Relations investigations and take the lead on all Reductions in Force taking place in Canadian operations.
Project lead and act as an HR administrative liaison with various Support Centre HR departments and payroll regarding daily business needs such as maintaining employee data accuracy, preparing statistical reports, answering HR administrative questions, handling information requests and performing other clerical duties as required by the business needs.

Primary Duties
HR GUIDANCE :
Act as an HR Expert with regard to employee relations, terminations, employee contracts, and new business projects involving talent in the Canadian context.
Conduct research, provide recommendations to the HR Director, HRBPs, & US Support Centre office based on experience and knowledge of employment law across the provinces, including recent case law and research.
Propose updates, process improvement and projects that improve efficiency and reduce risk to the Company. Keep HR Director and supporting HRBPs informed on all projects and high-risk investigations / terminations.
Provide advice and make recommendations to Canadian Field Leadership in all areas of human resources.
PROJECTS :
Projects may be assigned by the HR Director / HRBPs or initiated by HR Specialist as needs arise. Ongoing projects include providing HRBPs and field leaders with employment standard updates, providing annual updates to cross-province statutory calendar, updating HR forms, HR related research, maintaining various reports and statistical information, and creating presentations.
NEW HIRE PROCESS :
Responsible for driving and maintaining the full New Hire Process and coordinating with US Associate Services to ensure all New Hires based in Canada are Onboarded by the effective date.
Ensure Oracle created offer letters are correct. Respond to new hire’s questions. Follows up with New Hire, District Managers and other hiring individuals to obtain missing information.
Coach Store Managers and Field Leadership in explaining new hire process and paperwork. Identify gaps and areas for process improvement.
EMPLOYEE RELATIONS / INVESTIGATIONS :
Conduct investigations, deal with various employee relations concerns, respond to HR related questions / issues, looking into associate complaints, resolving employee concerns and advising appropriate action.
Works closely with department specialists to address and resolve issues and concerns. Responds to employees, field leader’s questions on Company policies, procedures, guidelines related information / communication, general pay and benefits.
Identifies and addresses policy, process flaws and recommends improvement to appropriate parties.
RECRUITMENT, ONBOARDING AND OFFBOARDING :
Prepare and develop Promotion / Demotion / transfers Contracts, Job Abandonment letter, Termination letters (on request), Employment letter (on request).
Assist with reference checks, Caliper assessment report & exit interviews. Assist in pre-screening interviews of the mid-level management position hiring.
NEW HIRE PAPERWORK :
Perform audits to ensure all employee documentation are completed accurately and signed. Update New Hire kits and forms in compliance with provincial regulations, new launch and Company policies.
EMPLOYMENT INSURANCE CORRESPONDENCE :
Primary contact for Service Canada in ROE verification, confirmation of earning and reason for separation, handle queries, gather and provide requested information, return to work and accommodation coordination.
Gather and provide employee information as per requests.
MAIL :
Open and process incoming mail. Complete Statistics Canada's monthly payroll and salary survey.
Knowledge, Skills and Abilities
- High school diploma
- Related college diploma or university degree an asset
- HR Certification or equivalent HR experience
- years Human Resources experience within generalist, specialist or business partner roles
- Must have at least three years of experience analyzing, applying, and advising on legislation including the Employment Standards Act, , the Ontario Human Rights Code, Accessibility for Ontarians with Disabilities Act (AODA) and similar legislation relevant to human resources practice in Ontario, British Columbia, Alberta, Saskatchewan, Manitoba, Newfoundland, New Brunswick, Nova Scotia and Prince Edward Island.
- Must have experience advising with respect to policies and practices related to legal issues including leaves of absence, accommodation, progressive discipline, and performance management in compliance with the laws of Ontario, British Columbia, Alberta, Saskatchewan, Manitoba, Newfoundland, New Brunswick, Nova Scotia and Prince Edward Island.
Must be able to proactively identify and advise based Leadership on legal changes within the provinces within which the Company operates.
- Must be able to review and analyze Company policies and procedures in light of labour and employment legislation in all provinces in which the Company operates, to ensure the Company’s position is consistent with legislation.
- Must be able to respond to inquiries from stakeholders, based on knowledge of Company policies and procedures.
- Strong Project Management Experience.
- Experience in Quebec legislation considered a strong asset.
- French language skills would be considered a strong asset.
- Strong proficiency in Word, Excel, Power Point, Outlook, and MS Office Suite experience, including HRIS systems.

The work environment involves everyday risks or discomforts which require normal safety precautions typical of such places as offices, meeting and training rooms, retail stores, and residences or commercial vehicles, , use of safe work practices with office equipment, avoidance of trips and falls, observance of fire regulations and traffic signals, etc.
The work area is adequately lighted, heated, and ventilated.
The work is sedentary. Typically, the employee may sit comfortably to do the work. However, there may be some walking; standing;
bending; carrying of light items such as papers, files, books, small parts; using a copier / scanner, using a keyboard, driving an automobile, etc.
