Our longstanding client is looking to add a Personal / Executive Assistant to their polished and high-profile team. Primarily based out of the downtown Calgary office, this role will support the lifestyle, travel planning, and administrative needs of a dynamic and fashion forward individual.
The ideal candidate will be an enthusiastic self-starter with a can-do attitude and a flair for fashion. They will take pride in their organizational abilities and possess a strong sense of confidentiality and discretion in the workplace.
Required is a resourceful, dependable, self-sufficient, and determined problem solver who can communicate effectively with a diverse range of people, exercise good judgment, and make decisive decisions as needed.
This role requires an individual with high flexibility and adaptability, who is able to respond to requests after hours and work long days as needed.
Duties and Responsibilities :
The key job functions are :
- Managing personal calendars, contacts, and correspondence as needed
- Screening, directing, and responding to phone, email, and written correspondence
- Managing personal and private confidential information, up-keeping passports and related documentation
- Organizing / scheduling social functions and events
- Assisting with the care of the beloved small dog
- Organizing and booking travel arrangements
- Assisting with clothing preparation, including planning outfits and packing for seasonal travel and events (guidance will be provided)
- Completing general errands as needed (shopping, picking up dry-cleaning, purchasing / delivering gifts, etc.)
- Assisting with basic record keeping and budgeting (support from the broader accounting team will be provided)
- Supporting and collaborating with other members of the residential estate and office teams
- Supporting basic technology needs, including telephone, video calls, televisions, and sound systems within the household
- Occasionally driving the client in their own vehicle
- Other ad hoc duties
Education :
Minimum high school diploma
Qualifications :
- Valid driver’s license with a clean driving abstract is a must
- Valid passport and ability to travel is an asset
- Must be comfortable around dogs
- Successfully complete a criminal and credit background check
- Legally authorized to work in Canada
Experience :
- years’ personal / executive assistant experience is required
- Previous event / party planning experience is required
- Knowledge of female fashion and clothing is considered a strong asset (training can be provided)
