The Edmonton Aboriginal Seniors Centre (EASC) is an Aboriginal, non-profit charitable organization with over 340 members.

It is a busy centre that serves as a valuable resource for Indigenous seniors in Edmonton. EASC focuses on providing culturally appropriate activities that resonate with the values, traditions, and customs of Indigenous seniors.

These include cultural workshops, traditional crafts, language classes, and celebrations of Indigenous heritage.

Job Summary :

The Financial Administrator ensures the Edmonton Aboriginal Seniors Centre's financial operations run smoothly. This role supports the organization’s ability to provide essential services to members and is responsible for effectively managing the Centre’s day-to-day financial operations.

This position involves handling routine financial tasks such as accounts payable, accounts receivable, payroll processing, and financial record keeping.

The Financial Administrator will ensure that the organization's financial processes comply with internal policies and regulations while providing administrative support to the Finance Manager and the Executive Director.

Key Responsibilities :

Financial Operations :

  • Process all accounts payable, ensuring all invoices are accurate, approved, and paid promptly.
  • Manage accounts receivable, ensuring that donations, grants, and other income sources are recorded and tracked.
  • Perform regular bank reconciliations and ensure accuracy in financial records.
  • Handle petty cash and monitor cash flow to ensure sufficient funds are available for operational needs.

Payroll Administration :

  • Collect and review employee time sheets, ensuring accuracy and compliance with organizational policies.
  • Prepare and process payroll for all employees, including managing employee benefits, deductions, and taxes.
  • Ensure timely submission of payroll taxes and contributions to appropriate government agencies.

Financial Reporting :

  • Prepare and maintain financial reports, including monthly and quarterly reports, as required.
  • Track revenue and expenses for grants and funding programs, ensuring compliance with funder requirements.
  • Support the preparation of financial reports for funders and other stakeholders.

Record Keeping :

  • Maintain accurate and up-to-date financial records using the organization’s accounting software, QuickBooks.
  • File and organize financial documents, such as invoices, receipts, bank statements, and contracts.
  • Ensure all financial data is properly documented and accessible for internal audits.

Budget Monitoring :

  • Assist the Finance Manager in tracking and monitoring EASC’s operating budget.
  • Monitor expenditures to ensure they align with approved budgets and report any discrepancies to your supervisor.

Compliance & Auditing :

  • Ensure compliance with all financial regulations, tax laws, and internal policies.
  • Assist the Finance Manager in preparing for annual financial audits, including compiling necessary financial documentation and records.
  • Support the Finance Manager in reviewing financial policies and recommending updates as needed.

Administrative Support :

  • Provide administrative assistance to the Executive Director and Finance Manager, including scheduling meetings, managing correspondence, and handling inquiries related to financial matters.
  • Assist in improving financial processes and procedures to enhance organizational efficiency.

Education & Experience :

  • Diploma or certificate in accounting, bookkeeping, finance, or a related field. A bachelor’s degree is an asset.
  • Minimum of 4 years of experience in financial administration, fully cycle accounting or bookkeeping in a non-profit organization.
  • Proficiency in QuickBooks and Microsoft Office, particularly Excel, with the ability to create financial reports and spreadsheets.

Work Environment :

  • This position is at the Edmonton Aboriginal Seniors Centre.
  • The Financial Administrator will work regular office hours, with occasional flexibility needed during audit periods or organizational events.
