We are seeking a detailorientedand proactive Administrative Operations Coordinator to join ourteam. This role is crucial in ensuring smooth daytoday operationsthrough effective management of orders gate monitoring andadministrative functions.
KeyResponsibilities :
OrderManagement :
- Placeand track orders with vendors and suppliers ensuring timelydelivery and accuracy.
- Monitorinventory levels and reorder supplies asneeded.
GateMonitoring :
- Overseeaccess control and gate monitoring to ensure the security ofcompany premises.
- Manage visitorlogs and coordinate access for authorizedpersonnel.
ReceivingOrders :
- Coordinatewith receiving teams to ensure accurate and timely receipt oforders.
- Inspect deliveries foraccuracy and report discrepancies orissues.
ExpenseManagement :
- Maintainand update expense spreadsheets tracking expenditures andreconciling accounts.
- Assist inbudget preparation and financialreporting.
Scheduling :
- Coordinateand manage scheduling for meetings appointments and staffshifts.
- Ensure efficient use ofresources and stafftime.
LabourHoursTracking :
- Monitorand record employee work hours ensuring compliance with companypolicies and labor laws.
- Prepare andsubmit timesheets and payrollinformation.
AdministrativeSupport :
- Providegeneral administrative support including filing data entry andoffice organization.
- Assist withspecial projects and other duties asassigned.
Requirements
Qualifications :
- Highschool diploma or equivalent; associate s or bachelor s degree inbusiness administration or related fieldpreferred.
- Proven experience in anadministrative or operationsrole.
- Strong organizational andmultitasking skills with attention todetail.
- Proficient in MicrosoftOffice Suite (Excel Word Outlook) and other relevantsoftware.
- Excellent communicationand interpersonal skills.
- Ability towork independently and as part of ateam.
- Experience with expensemanagement and scheduling software is aplus.
