Job Summary :
Coast Mental Health is a leader in providing mental health and community-based services in Vancouver and surrounding areas.
We are seeking a dedicated and organized Scheduler . In this role, you will be responsible for coordinating and maintaining the scheduling of designated staff to ensure seamless service delivery, while adhering to relevant standards and guidelines and applicable collective agreements.
You will collaborate with team members to maintain accurate schedules, communicate changes, and respond to staff and client needs.
Key Responsibilities :
Staff Scheduling : Prepare and adjust schedules for designated staff to meet client needs and service requirements, ensuring compliance with organizational policies and collective agreements.
This includes daily, short-term, and long-term scheduling.
Staff Management : Manage scheduling requests for staff absences (vacation, sick leave, etc.) and assign appropriate replacements using automated shift filling software, adhering to staffing policies and collective agreements.
Reviews and verifies staff timesheets. Manage expense report
- Staff Support : Receive staff feedback and inquiries, and liaise with managers and Human Resources to resolve issues.
- Documentation and Reporting : Maintain accurate online records of staff schedules and any scheduling changes. Ensure all documentation is up to date and aligned with service delivery standards.
- Team Collaboration : Collaborate with managers to address staffing requirements. Inform managers of any concerns or difficulties in staff placement or service delivery.
- Orientation : Assist in orienting new staff to scheduling procedures and provide ongoing support regarding scheduling processes.
- Other Duties : Perform other scheduling and administrative tasks as required to support service delivery.
Qualifications :
- Completion of Grade 12, supplemented by an Office Administration Certificate or equivalent experience.
- A minimum of two (2) years of recent related experience in scheduling, administrative support, or similar roles.
- An equivalent combination of education, training, and experience will be considered.
- WHMIS Certification
- Ministry of Justice Criminal Record Clearance
Skills and Abilities :
- Excellent verbal and written communication skills.
- Ability to work independently and as part of a team.
- Strong organizational and time management skills, with the ability to prioritize tasks effectively.
- Proficiency in using office equipment and related software.
- Ability to analyze and resolve scheduling conflicts and issues.
- Ability to type at a minimum of 50 words per minute .
- Intermediate knowledge of MS Office including Excel.
- Knowledge of general office procedures
- Strong attention to detail, with the ability to manage multiple tasks efficiently.
- Experience with automated shift filling software and / or HRIS technology considered an asset.
- Experience working with Labour Relations matters is an asset.
