WHO YOU ARE

The Regional Maintenance Manager is a key contributor and leader within the Regional leadership group. Reporting to the Regional Manager, Alberta, they provide support and expertise to Property Operations, including oversight of regulatory and procedural compliance and owning all aspects of service contract management throughout the Region.

Directly leading small, highly skilled Regional Maintenance teams, they purposefully work to enhance the skillsets of site maintenance contributors, continuously developing the quality, efficiency, and effectiveness of our team members and thus reducing the scope of need to engage contractors while improving service delivery and resident experience.

The Regional Maintenance Manager succeeds by collaborating closely with Property Operations teams and Support Departments, including Capital, Facilities, In Suite, and People and Culture, to set and achieve budgets and goals for project delivery, efficiency improvement, skills enhancement, and the delivery of exceptional property and suite maintenance.

They establish and maintain strong vendor relationships, continuously growing a diversity of reliable suppliers to drive excellence in quality and service while ensuring competitive pricing.

They are the go to resource in the Region for maintenance, repair, and service contractor issues ranging from the day-to-day to complex building systems challenges and are on-call for the Region as a first-level escalation responder in emergency situations.

WHAT DO YOU NEED TO BE SUCCESSFUL

Education and Experience :

  • Completion of High School or general education degree (GED)
  • 10+ years of maintenance or related experience
  • Must have a valid driver's license and vehicle
  • Flexibility to work on-call should emergencies happen after hours
  • Computer savvy with technical competence
  • Proficient with use of handheld and power tools used in the maintenance, repair, and construction trades
  • Knowledge of plumbing, electrical, drywall, carpentry, painting, mechanical and HVAC systems etc.
  • Certification / license from one of the trade professions would be a definite asset
  • Exposure to the multi-residential or other related industry setting would be considered an asset
  • Experience working with budgets and tracking expenses
  • WHMIS certified would be an asset
  • Ability and willingness to travel occasionally between Calgary and Edmonton

WHAT WILL YOU DO

Regional Maintenance Operations :

  • As the primary resource and subject matter expert in the Region for maintenance, repair, and service contractor issues ranging from the day-to-day to complex building systems challenges, the RMM provides information, advice, and collaborative solutions to Property Operations leaders and Support Department team members.
  • Is on-call for the Region as a first-level escalation responder in emergency situations, responding promptly with assistance and advice, mobilizing forces as needed, and escalating further as appropriate.
  • Leads the Regional Maintenance teams, hiring, coaching, mentoring, and managing the performance of the team and team members with a focus on close collaboration and integration with Property Operations in pursuit of a one team culture and camaraderie.
  • Oversees, coordinates, and optimizes the performance of the Regional Maintenance teams in Calgary and Edmonton, constantly collaborating closely with Property Operations and Support Department leaders to identify, prioritize, plan, and action needs of the properties and portfolio.
  • Ensures quality and efficiency in maintaining building standards at a high level and that the Regional Maintenance team members perform at all times in a professional and collaborative manner.
  • Directs the day-to-day activities of the Regional Maintenance teams, assigning / scheduling / coordinating them with focus on general and specialized maintenance challenges that are beyond the skill sets of site maintenance team members.
  • Ensures Regional Maintenance team members act as resources for site maintenance team members, sharing expertise, know-how, and tricks of their trades to elevate the skill sets of others over time.
  • Fosters initiative in Regional Maintenance team members to identify deficiencies, opportunities for continuous improvement, suggest or initiate proactive corrective measures, and to plan for preventative maintenance that mitigates the risk of future challenges.
  • Leads collaboration with Property Operations leaders to set learning plans that enhance the skills of site maintenance team members with focus on high value-add opportunities to resolve issues and complete projects in house rather than engaging trades.
  • Designs and delivers hands-on training in maintenance and customer service skills, leveraging team member expertise to teach, coach, and mentor others, in alignment with the set learning plans.
  • Enables a superior level of communication, cooperation, service, and support being provided to residents, thereby ensuring that Hazelview is a Best in Class landlord of choice.

Service Contract and Vendor Management :

  • Establishes and maintains excellent vendor relationships, continuously growing a stable of reliable suppliers to drive excellence in quality and service while ensuring competitive pricing.
  • Owns and manages service contract administration and execution oversight throughout the region, maintaining a schedule of service contract details and proactively planning tenders to ensure competitive pricing and timely service delivery.
  • Collaborates with Property Operations and Support Departments to define appropriate service contract scopes of work, frequency of service by property, and to collect feedback to inform vendor selection.
  • Authors tender and RFP documents for service contracts and smaller capital projects, issues tenders, coordinates site tender meetings, and receives vendor submissions, all while ensuring utmost integrity of the tender process.
  • Evaluates tender submissions on both quantitative and qualitative measures, submits for approval a tender review summary recommending, with supporting rationale, to whom the tender should be awarded.
  • Upon approval, drafts service contracts in Hazelview form and format for review and signature, awards contracts to successful vendors, issues associated purchase orders, coordinates with Property Operations and the vendor for performance of the work, regularly inspects the performance of work in progress and upon completion, and promptly addresses and resolves any concerns.

Procedural and Regulatory Oversight :

  • Leads safety and regulatory compliance for the Region, including maintaining required documentation, ensuring that all work is undertaken in accordance with Hazelview policy and procedures and all applicable legislation and regulation, including Health and Safety standards, WHMIS, AODA, PIPEDA and Human Rights.
  • Champions and fosters health & safety compliance in the Region, ensuring the use of required safety equipment, identifying and resolving unsafe practices and conditions, maintaining clean and safe working environments, and creating a culture of awareness for safety in the workplace.
  • Maintains tools and equipment to ensure safe operation and minimize risk of accident or injury and trains others to do so as well.
  • Regularly inspects grounds, facilities, and equipment to determine if repairs or preventative maintenance is required and to ensure properties are maintained to Hazelview standards and compliant with regulations.
  • Oversees and manages the Yardi Maintenance Workflow system, collaborating with Property Operations leaders to ensure all team members understand and use the system consistently and correctly.
  • Regularly inspects and assures the completion and compliance of various forms and checklists for such items as boiler room logs, snow logs, generator tests, fire system inspections, equipment licenses, and associated record keeping.
  • Takes the lead in the Region to ensure continuous regulatory compliance and promptly addresses and resolves any regulatory compliance deficiencies related to property maintenance and operations, such as Fire Department orders, TSSA orders, and City orders.

Financial and Budgets :

  • Develops annual service contract budgets in collaboration with the Regional Manager and Property Operations leaders.
  • Contributes to capital program budgeting in collaboration with the Capital Project Manager and Property Operations leaders.
  • Oversees vendor and contractor relationships in the Region, seeking opportunities to leverage scope and scale, share solutions and enhance cost efficiency while optimally addressing the maintenance requirements of the Region and properties.
  • Ensures that no vendor work is undertaken on the properties before a purchase order is approved and issued except in emergency situations, where a purchase order will issue no later than the following business day.
  • Manages and maintains Payscan in a thorough, complete, and detailed manner on a timely basis, meeting all Finance Department deadlines and responding promptly and comprehensively to queries from Finance, Property Operations, and other Support Departments.
