Summary :

Reporting to the Director, Advancement, this position provides comprehensive administrative support to the advancement team including events’ support, gift processing and data entry, donor stewardship and recognition, fundraising and community event support.

This role is based in-person from 8 : 00am - 4 : 30pm. Some evening work and occasional weekend work required.

Position salary range starts at $50,000, depending on experience.

Key Accountabilities / Responsibilities :

  • Assist with daily Advancement Office tasks such as filing, office organization, mailing, data entry
  • Responsible for supporting the silent and wine auction, including tracking items and assisting with creation of any printed materials of the catalogue
  • Responsible for supporting all Committees ( Gala Committee, Gala Auction Committee, Golf Committee, Golf Auction and Wine Committees) Tasks include : daily correspondence, execution of assigned tasks, troubleshooting
  • Prepare various meeting materials and attend meetings to record minutes as required
  • Coordinate catering and logistical set up for meetings and / or events on campus
  • Assist with the pre-production logistics for Advancement related events such as New Parents Dinner, Alumnae Reunions, Alumnae Association events, Seasonal Social, Young alumnae Winter event, Gala, and Golf Tournament
  • Produce nametags, prepare RSVP list, day of setup, signage, manage guest registration etc.
  • Provide day of event support to the Advancement department
  • Assist with all aspects of post-production as needed such as follow up with donors, assist with the organization of tax receipts, draft debrief materials, data entry from event debrief into database
  • Other duties assigned as required

Skills / Attributes :

  • Strong organizational and time management skills
  • High attention to detail, sense of urgency and ability to meet tight deadlines
  • Intermediate to advanced skills in Microsoft Office Suite (MS Word, Excel, PowerPoint)
  • intermediate to advanced skills in Google applications; Google Drive and Gmail
  • Personable, relates well to external stakeholders and is a positive, contributing team member
  • Ability to take initiative and discern among different priorities
  • Strong oral and written communication skills
  • High degree of diplomacy, confidentiality, discretion and tact

Minimum Qualifications :

  • Prior experience in supporting event planning and coordination is highly desirable
  • Experience using Raiser’s Edge and Givergy an asset
