About the Role - Key Responsibilities
- Document Preparation : Draft and organize various documents, including letters, memos, client packages, and presentations, with a high degree of accuracy.
- Client Communication Management : Serve as a central point of contact, managing communication with clients, CRA, and professional partners both verbally and in writing.
- Calendar & Meeting Coordination : Coordinate multiple calendars, ensuring efficient and timely scheduling of client meetings.
- Client Service Excellence : Act as a key client contact, delivering exceptional, responsive service.
- Invoicing & Billing : Ensure the timely and accurate processing of invoices and billing.
- Phone & Inquiry Management : Handle phone communications and client inquiries on behalf of partners with professionalism.
- Document Organization : Oversee the collection, distribution, and filing of documents, adhering to strict deadlines.
- Project Support : Assist with client projects, ensuring all deadlines and project requirements are met.
- Additional Administrative Support : Support document preparation, correspondence, and other administrative tasks as needed.
Qualifications - Desired Qualifications
- Client Service Commitment : A strong dedication to providing outstanding client service.
- Technical Skills : Proficiency in Microsoft Office Suite (PowerPoint, Outlook, Word, Excel).
- Professional Demeanor : Approachable, proven to handle sensitive situations with diplomacy.
- Organizational Abilities : Skilled in project management, with a strong organizational background and experience tracking multiple priorities.
- Effective Communicator : Exceptional oral and written communication skills for interacting with clients and colleagues.
- Educational Background : Post-secondary education in Administration or a related field is highly preferred.
- Relevant Experience : Minimum 2-3 years in an executive assistant role, preferably supporting senior executives or partners.
- Software Knowledge : Familiarity with CaseWare and Taxprep is an asset.
