Senior Document Controller

We have an exciting contract opportunity to join our global EPC client as a Senior Document Controller in Fort Saskatchewan.

Roles / Responsibilities :

  • Coordinate the processing of design documents going to site contractors.
  • Coordinate the processing of site contractor submissions.
  • Issue urgent transmittals and maintain transmittal records, when needed.
  • Assist site contractors on document control related question / issues, and project requirements.
  • Provide support and training to construction management team on accessing and the use of EDMS.
  • Manage the flow of the various site-controlled quality records NCRs, RFIs, redlines, etc.
  • Work with the task force to determine reporting requirements, run regular reports at the determined frequency and, when required, create custom reports.
  • Be available to answer queries from the team regarding various aspects of documentation, data and reports.
  • Perform health checks / audits on documentation on a regular basis. Including but not limited to documents issued to contractors, received from contractors, redlines, etc.
  • Plan, coordinate and carry out assignments given by project / construction management as required.
  • Work collaboratively with Project / Construction management on any new work processes, bulletins, etc.
  • Manage a dedicated group mailboxes to support site document control work.
  • Maintain regular and open communication with the construction management team, home office and workshare office.

Qualifications

  • Energetic and flexible to take on tasks in the document control department as required.
  • Ability to prioritize and manage multiple work tasks.
  • Ability to work within a team environment or autonomously as required.
  • Awareness of information security and absolute requirements to confidentially requirements with sensitive information.
  • Physically capable of manipulating large packages of documents, drawing sticks, and binders (if required).
  • Experience in using Microsoft Office applications (Word, Excel, and Access) and electronic data management systems (such as Coreworx, Adept).

Quick and accurate data entry is needed.

  • Intermediate to advanced excel experience is an asset (i.e., pivot tables, using VLOOKUPs, data validation, IF functions, Macros basics)
  • Highly driven, with an ability to take initiative and self-learn when required.
  • Previous experience in field / site construction execution on large oil & gas or petrochemical project is required.
