The Position
This position is a combination of customer service, gift processing and data entry duties. The Advancement Services Representative acts as a frontline resource for donors of the Foundation and internal staff.
Primary responsibilities of the Advancement Services Representative, following role-specific orientation and training, include :
- Creating a meaningful experience for donors while interacting with them, most commonly via email and over the phone, to receive donations, verify information, and answer enquiries
- Maintaining a thorough understanding of CRA regulations and best practices for the processing and recording of gifts; following due process when processing gifts
- Preparing and proof-reading tax receipts and letters to donors according to CRA rules and regulations
- Inputting clean, meaningful data into the database through a variety of processes, ranging from manual entry to mass imports using the technology provided e.
g. importing gifts & data from Luminate Online into the Raiser’s Edge database using Importomatic, LO Connector, RE Import function, etc.
- Maintaining constituent records data hygiene in the Raiser’s Edge database by consistent data entry and assisting in specific data cleanup and database maintenance projects
- Assisting with handling enquiries and requests from Development staff in a timely and professional manner
- Opening and distributing incoming regular and electronic mail and helping coordinate the flow of information internally and with other departments and organizations
- Contributing ideas in team discussions and providing feedback regarding process improvement
- Maintaining up-to-date knowledge of PCI compliance and how it applies to gift processing; following due process when processing gifts
- Keeping Gift Processing procedures manuals up to date
- Providing assistance with cross-training Advancement Services staff
- Assisting with greeting visitors, determine nature of business and direct visitors to the appropriate person, as needed

- Ability to work in a fast-paced and rapidly changing environment with demonstrated flexibility to adapt and perform optimally
- Strong data entry and proof-reading skills, attention to detail and accuracy
- Flexibility to work on site and remotely as determined by the Manager and according to both departmental and organizational needs
- Ability to work collaboratively and communicate effectively while remote using technology such as Asana, Slack and Zoom, if applicable
- Experience with Raiser’s Edge or another customer relationship management system is an asset
- Computer skills : demonstrated competence in computer software such as Microsoft Office Suite (i.e. Word, Excel and Outlook)
The Qualifications
The ideal candidate will possess a minimum Secondary School Diploma or equivalent, plus two years related experience, preferably working within fundraising, or an equivalent combination of education, training and experience.
Salary Range : $47,000 - $52,000
