This is an exciting opportunity to join our pharmaceutical client based in the greater Toronto area.
The Sales & Marketing Coordinator will support all commercial functions as well as the Canadian Executive Leadership team, including administrative support to the General Manager.
This role will also be responsible for coordinating all Canadian employee site events and celebrations.
What You'll Do :
Collaborating closely with the sales and marketing teams, you'll support and contribute to projects of varying size and complexity.
You'll create and manage the annual company team calendar.
- Internal meetings management - organize, coordinate and manage follow up of all internal meetings including scheduling & participation, catering, travel arrangements, venue management.
- External event management - organization, venue selection & management, travel arrangements for healthcare professionals, healthcare compliance and reporting, budget management & invoice resolution.
- Finance / Budget administrative support - purchase order preparation, monthly spend reconciliation and reporting to Finance, invoice payment processing.
- Vendor & Contract Management - Tender / contract dossier preparation, submission, execution and monitoring. Vendor Audits.
- Operating Procedures, Project & Process Management - support and lead coordination of new / updated standard operating procedures, including policies for all Canadian employees.
- Onboarding - provide assistance to new employees for equipment, procedures and systems training.
Who You Are :
- You're an organization expert! High attention to detail, able to juggle numerous tasks at varying stage of completion.
- You enjoy working with people. Collaborating with colleagues, following up and engaging pleasantly with external vendors, contacts and customers.
- Minimum 5-7 years professional experience in sales and / or marketing support, executive assistant, general administration combined with customer relations.
- Maintain a professional disposition at all times, above average communication skills. Fluent in English, both written and spoken.
One additional language relevant to the sales region is an asset.
- Able to work virtually with minimal supervision, be present & organize on-site office space within hybrid work environment.
- A valid drivers license & personal vehicle is required as this role will travel to both venues & the office to complete meeting set up in advance and collaborate with team members.
- You're technology savvy - fully proficient with MS Office 365, internet search & research, calendar and scheduling tools and collaboration / work management software eg.
SmartSheet, MindManager, MS Project, Adobe.
- Calm under pressure and a positive attitude - you like to figure out how to get things done.
- Bachelor's Degree in Business or a related field
- Prior pharmaceutical or biotech experience is preferred
