Responsibilities
- Sorting and managing administrative requests
- Draft, perform basic editing and formatting, and review correspondence, memos, major transaction documents, reports, forms, labels, etc.
- Assist various practice groups in the preparation of legal documents
- Support for lawyers and clients
- Booking travel, preparing itineraries
- Expense reports, process checks and invoices from vendors and third parties
- Provide administrative support including data entry printing, scanning and archiving
- Assist the supervisor in coordinating requests (assessing workload, establishing priorities, assigning requests, etc.).
- Collaborate with Legal Administrative Assistants to ensure compliance with processes and guidelines, verifying that client requests comply with department processes and procedures.
- Coordination of workflow, processing and resolution of queries or issues
- Track processes and procedures to ensure tasks are completed efficiently.
- Delegate tasks and responsibilities to team members to ensure a balanced distribution of the workload.
- Act as a trainer and specialist with regard to the tasks and responsibilities assigned to the department.
- Create documentation, guides and other training resources to facilitate the integration and continuous learning of team members.
- Provide ongoing coaching and support
- Maintain a good level of knowledge of legal terminology, court regulations and procedures, and medical terminology, where applicable.
Qualifications
- Post-secondary degree with specialization in the legal or administrative field, or equivalent experience.
- At least four years of experience in a professional work environment; work experience in the administrative or legal field would be an asset.
- Experience in the legal field
- Proficiency in Microsoft Office suite (Outlook, Word, Excel and PowerPoint).
- Knowledge of legal terminology, documents and procedures would be an asset.
- Leadership certification or training would be an asset.
- Excellent written and oral communication skills in English. Fluency in French
- Excellent interpersonal skills, professionalism in telephone exchanges, and customer-centric approach.
- Excellent analytical skills, problem solving, decision making, conflict management and negotiation skills.
- Demonstrate patience, flexibility and the ability to effectively manage difficult situations.
- Good organizational skills, strong attention to detail and excellent proofreading skills.
- Ability to work independently, establish priorities and make routine decisions confidently
- Ability to collaborate effectively with other team members and demonstrate tact, respect and professionalism in all interactions.
- Provide first-class service to colleagues and customers.
