Job description

Gill + Gill Lawyers is a dynamic and growing law firm. With soon-to-be three locations and a dedicated team of professionals, we are committed to delivering high-quality legal solutions to our clients. As we continue to expand, we are seeking a detail-oriented, self-motivated, and experienced Human Resources / Office Manager to oversee the day-to-day operations of our firm’s human resources and office management functions across all locations.

Job Summary : The Human Resources / Office Manager will be responsible for overseeing HR operations, employee relations, office administration, and providing essential support for all employees at our three locations. This role requires a strong background in HR management, excellent organizational skills, and the ability to manage multiple tasks in a fast-paced legal environment. The ideal candidate will be proactive, solutions-oriented, and skilled in managing people and office operations in a multi-location environment.

Key Responsibilities :

Human Resources :

  • Administer recruitment, hiring, and onboarding processes across all locations.
  • Develop and implement HR policies and procedures in alignment with firm goals and legal requirements.
  • Handle employee relations, resolving conflicts, addressing concerns, and fostering a positive work environment.
  • Oversee employee benefits administration, including health insurance, retirement plans, and leave policies.
  • Maintain employee records and ensure compliance with all legal and regulatory requirements.
  • Coordinate performance management processes, including employee evaluations and professional development.
  • Manage employee training programs and ensure compliance with mandatory training requirements.

Office Management :

  • Supervise day-to-day office operations and facilities management for all locations.
  • Manage office supplies, equipment, and vendor relationships.
  • Coordinate office schedules, meetings, and events to ensure smooth operations.
  • Assist with the implementation of firm-wide policies, including safety, security, and office protocols.
  • Serve as the point of contact for general office issues, troubleshooting problems, and ensuring operational efficiency.
  • Oversee office maintenance and ensure a professional, organized, and welcoming environment.
  • General Administration :

  • Support senior leadership and attorneys with administrative tasks and project management.
  • Maintain effective communication across all office locations to ensure consistency in policies and procedures.
  • Handle confidential and sensitive information with professionalism and discretion.
  • Assist with budgeting and financial reporting related to office operations and HR expenses.
  • Qualifications :

  • Bachelor’s degree in Human Resources, Business Administration, or a related field.
  • 5+ years of experience in human resources and office management, preferably in a law firm or professional services environment.
  • Strong knowledge of HR laws, regulations, and best practices.
  • Excellent communication and interpersonal skills.
  • Proven ability to manage multiple tasks, prioritize work, and meet deadlines.
  • Strong problem-solving abilities and a proactive approach to challenges.
  • High level of discretion and the ability to maintain confidentiality.
  • Proficiency in Microsoft Office Suite and HR management software (e.g., ADP, BambooHR).
  • Ability to travel between office locations as required.
