We are currently looking for an Indie Project Coordinator to join our Oakville team. This is a full-time, permanent opportunity that will work in partnership with the Sales Account Manager to ensure their portfolio of independent labels and artists enjoy great product and service at Precision Record Pressing. We are looking for a positive, energetic person who is highly motivated and wants to work in a team environment!
Responsibilities
- Receive and review new orders, carefully vet details to look for issues prior to release
- Ensure all pertinent order details are present and correct before release
- Proactively manage artwork and audio assets to ensure project timelines are met
- Use custom ERP system and Google Sheet tools to closely track the progress of orders
- Proactively look for potential issues and work with customers, internal departments, and vendors to resolve them
- Communicate audio and artwork issues to customers and assist in troubleshooting to resolve them
- Follow up with customers in a timely manner regarding missing or late assets and asset approvals
- Review, process, and manage customer claims and anomalies with internal departments and external vendors
- Collect, review, and manage product shipping details ahead of production deadlines
- Process finished goods shipments to customers with the shipping department
- Assist with the creation of sales quotes using Precision’s custom ERP system
- Attend customer meetings alongside account management to discuss important projects and issue resolution
Physical Demands

Minimum 2 years of administrative / coordination and customer service experience requiredProficient in Microsoft Office and Google Business SuiteStrong self-initiative and work ethic with a drive to achieve sustainable resultsDemonstrated ability to work independently and take initiativeA detail-oriented individual with strong oral, written and verbal communication skillsHighly analytical thinker with very strong problem-solving skillsAbility to achieve results in a fast paced, team-based environment with shifting prioritiesDemonstrated commitment to accuracy, efficiency, organization, and managing multiple projects while meeting departmental goals and deadlinesAs a condition of employment, the successful candidate will be required to submit a clear Criminal Record Check, at their own expense, prior to start date.
