We are seeking a File Clerk to join our support services team located in Victoria, BC. This position is expected to be full-time, Monday to Friday, with standard office hours from 8 : 00 AM to 4 : 00 PM.

Role Overview

Our File Clerks play a vital role by organizing and filing information and contributing to our efficient administrative operations by directly supporting our legal teams on litigation files.

We are seeking candidates with strong file organization skills, an aptitude for detail, and a willingness to learn new software processes integral to providing litigation support and document management systems.

Data Management & Organization :

  • Scan, save, and organize legal documents, in compliance with firm standards and accurate naming conventions.
  • Enter information into our database software and maintain organized records for large-scale litigation files.
  • Sort and maintain accurate records for large-scale litigation.

Administrative Support :

  • Draft, review, and format correspondence, memos, and other document materials to maintain standard on-brand consistency.
  • Prepare document binders for client meetings and court proceedings.
  • Make use of internal templates to maintain consistent format for documents.
  • Office Support :

  • Provide reception coverage with answering phones and greeting visitors.
  • Set up and take down meeting room(s) and assist with office housekeeping tasks such as stocking supplies and shredding documents.
  • Run errands, including picking up supplies and handling mail distribution.
  • Assist with document searches, storage, and archiving.
  • Qualifications

  • College, CEGEP or other non-university certificate or diploma from a post-secondary program or some work experience of 1 year to 2 years.
  • No prior legal experience is required. Systems training will be provided.
  • An interest in Aboriginal law and a motivated willingness to learn and lend support with adaptability, is essential.
  • Key Competencies

  • Engaging interpersonal skills with a professional and positive demeanor.
  • Strong attention to detail and commitment to document filing accuracy.
  • Resourceful problem-solving skills and adaptability.
  • Clear communication with internal and external clients.
  • Proficiency in Microsoft Office 365 tools (e.g., Word, Excel, Outlook, SharePoint).
  • Interest and willingness to learn litigation software and legal database tools.
  • Some familiarity with document management systems or processes (e.g., following naming conventions and saving or storing electronic documents), is an asset.
  • Administrative or clerical experience preferred, particularly in legal or professional services settings.
  • Post-secondary education in administration, business, or a related field is considered an asset, but not required.
  • Demonstrates an interest in working with Indigenous communities, and organizations.
