Responsibilities

Centralize and organize the corporate documentation and agreements execution (service agreements, prospectus, and management regulations)

Prepare and provide to auditors corporate documentation for domiciled funds

Monitor incoming emails and dispatch incoming mailings (stamp date on incoming letters and other documentations, apart agreements and funds’ corporate documents) and other communications and organize outgoing of mailings and courier

Archive files and folders, unarchive when necessary

Organize the printings of necessary documents for internal and external meetings, including board meeting

Electronical filing of various documents to be lodged with the RCS (annual reports, changes to composition of Board of Directors, Management Regulations)

E-filing : upload all necessary documentation on the e-file platform, monitor any return / incoming documents from the regulator and inform the FCS agent accordingly

Provides paraprofessional support for the effective management and administration of the Canadian / Caribbean Employment Litigation Team.

Works closely with the Manager, Employment Law Administration to provide independent confidential and objective advice and support to the Canadian / Caribbean Employment Litigation Team with respect to Employment Litigation and sensitive employee related legal issues and escalations.

Demonstrates knowledge of Canadian employment law including civil and tribunal administrative processes

Provides change management assistance to the Canadian and Caribbean Employment Litigation Team with process enhancements and projects

Team ambassador related to operational and administration processes

Assists Manager, Employment Law Administration with creation and maintenance of Litigation reports for Canadian and Caribbean employment team

Maintains template documents to ensure compliance with the law

Updates employment protocols including provisions and Risk Weighted Exposure (“RWE”)

Facilitates internal Registrant Compliance reporting requirements for employment litigation matters

Provides ad-hoc support for Employee Relations (including e-Discovery requests, T360 Billing Assistance, cease and desist / data incident escalations)

On client human rights matters, engaging partners to obtain the necessary background documentation and information

Managing File Share Access for litigation matters, including setting up access, transferring data, troubleshooting

Provides organizational assistance to the Canadian and Caribbean Employment Law Team

Reviews escalations and claims and recommends next steps

Assists internal and external counsel throughout the duration of the litigation, which may include fact and documentation gathering or other non-complex issues related to the management of these litigation matters, including coordinating and gathering documentation and completing undertakings

Supports work efforts for Senior lawyers including assistance with legal provisioning, auditor requests, Ediscovery management requests, compliance with court orders

Monitors external counsel involvement in the context of litigation, which includes obtaining, updating and monitoring budgets, managing complex billing arrangements, and ensuring that external counsel is complying with our required quarterly reporting

Prepares litigation holds, privileged project and investigation retainer letters, and manages related requests

Provides organizational support and back-up on reporting and other group activities, as appropriate, including calendar management and the organization of multi-party meetings, telecom, video conferencing and WebEx and ensuring accuracy and judgment in scheduling

Special projects as required

Qualifications

University / College degree

10+ years of relevant experience as a Paralegal

Basic understanding of the funds industry
