The Vancouver Convention Centre is hiring an organized and energetic Venue Overlay Specialist whowill play a crucial role in overlay logistics for events, ensuring seamless execution and compliance with safety regulations. Responsibilities include managing the floorplan submission process, providing technical evaluations for internal floorplans, and coordinating lineup and fencing plans. Acting as Event Safety Officer, this role oversees compliance with venue guidelines and WorkSafe regulations as well as supporting oversight of furniture, fixtures and equipment (FF&E) and back of house operations and storage.
This role will represent Venue Operations at safety meetings, coordinate hazard assessments, and maintain AutoCAD drawings for events. With a schedule spanning Tuesday to Saturday, this will ensure operational efficiency throughout event planning and execution.
WHAT YOU WILL DO
- Managing the floorplan inbox, setting submission requirements, and escalating external and complex plans for senior review
- Approving all internal event floorplans, providing technical evaluations relative to event capacity, ingress, egress, and people flow
- Creating lineup and fencing plans including coordinating fencing installations
- Acting as Event Safety Officer to ensure event compliance with venue operation guidelines & WorkSafe regulations, including primary presence on the floor in the role of SSO during move-in and move-out
- Supporting oversight FF&E inventories, storage, asset disposal, and purchasing
- Supporting oversight of all venue storage and back of house space inspections
- Representing Venue Operations at monthly safety meetings
- Coordinating Venue Operations annual Job Task Hazard Assessment review
- Completing Venue Operations monthly workspace inspections
- Acting as the secondary event contact for the Vancouver Fire Department including submitting fire permit applications
- Maintaining AutoCAD drawings used for events and client exports
- Preparing business cases and decision notes for FF&E related requests
- Attending weekly operations meeting and internal production meetings to represent Venue Operations
WHAT YOU WILL BRING
2-year diploma in Event Management or Business Administration is preferredCompletion of Trade Safety Coordinator & Construction Safety Officer certification preferred / assetExperience in the events industry, large-scale venue operations, event safety, and technical overlaySound working knowledge of Fire Code and building guidelinesSound working knowledge of a wide variety of standard software applications including Momentus, MS365, and AutoCADEmbody a positive, enthusiastic, and solution-oriented attitudeTo champion and comply with all health and safety regulations and safe working practices as required by current legislation including PavCo’s health and safety policy and practicesPassion for hospitality and first-class customer serviceFlexibility to work evenings, weekends, and holidays will be requiredThe salary range for this position is $ 66,983-83,729.
