Job description

The Position :

Imperial Theatre is seeking an experienced highly organized and detail-oriented Bookkeeper to join our team. As the Bookkeeper, you will be responsible for managing and maintaining financial records and ensuring the accuracy of all financial transactions. This is a part-time position with flexible hours.

Reporting directly to the Director of Operations & Finance the Bookkeeper works closely with the Executive Director and the Imperial Theatre Finance Committee to create and analyze financial reports and ensure legal requirements compliance, process accounts payable and receivable, payroll and manage invoices and tax payments.

The ideal candidate holds a Finance degree / diploma and is familiar with the accounting software package QuickBooks Online.

Ultimately, the Bookkeeper’s responsibilities are to accurately record all day-to-day financial transactions of Imperial Theatre.

Hourly pay of $30 per hour / 21 hours per week

Key Responsibilities :

  • Maintain financial records - Maintain detailed and accurate financial records for the organization including accounts payable, accounts receivable, payroll, and general ledger.
  • Assist in the preparation of financial reports - Prepare financial reports, including balance sheets, income statements, and cash flow statements. They will provide these reports to the Executive Director and Board of Directors on a regular basis.
  • Process payments and invoices - Process payments and invoices, ensuring that all expenses and income are properly recorded and coded.
  • Manage payroll - Manage the organization's payroll, ensuring that all employees are paid accurately and on time.
  • Reconcile bank statements - Responsible for reconciling monthly bank statements and ensuring that all transactions are properly recorded.
  • Assist with budgeting - Assist the Executive Director and Board of Directors in creating and maintaining the organization's annual budget.
  • Coordinate with auditors - Work closely with external auditors to ensure that all financial records are accurate and up to date for the annual audit.
  • Maintain compliance - Ensure that all financial records and procedures are in compliance with applicable laws and regulations including charitable receipting, taxation remittances etc.

  • Record day to day financial transactions
  • Verify and record transactions
  • Ordering of office supplies, inventory reconciliation, and petty cash
  • Maintain confidentiality of all financial and employee information
  • Collaborate with other departments to ensure accurate and timely processing of financial transactions
  • Stay up-to-date with accounting principles and regulations
  • Assist with year-end audits and tax preparation
  • Provide support to management and assist with other tasks as needed
  • Qualifications :

  • Degree in Accounting, Finance or related field
  • Proven work experience as a Bookkeeper or role in financial services
  • Knowledge of accounting and bookkeeping principles
  • Experience with Quick Books accounting software and Microsoft Office
  • Excellent communication and interpersonal skills
  • Ability to maintain confidentiality and handle sensitive information
  • Highly organized and detail-oriented
  • Strong analytical and problem-solving skills
  • Time-management and multi-tasking abilities
  • A team player with a sense of humour and excellent interpersonal skills
  • Ability to prioritize and meet deadlines
