Responsibilities :
- Proactively support professionals in managing and tracking their cases.
- Coordinate schedules and ensure follow-ups for all appointments, meetings, hearings, events, and committees attended by the assigned professionals.
- Participate in the development of the template bank.
- Ensure deadlines are met, and track client files and deliverables.
- Professionally and courteously handle reminders and follow-ups with current and potential clients.
- Prepare the required documentation for various scheduled events.
- Proofread and correct documents.
- Handle file openings and billing.
- Prepare expense allocations.
- Perform various other administrative tasks as needed.
What you will need to succeed :
- Diploma in secretarial studies, legal secretarial studies, or equivalent training.
- Minimum of three (3) years of experience in legal secretarial work, litigation.
- Proficiency in Microsoft Office Suite, particularly Word (intermediate / advanced), Outlook, and Excel.
- Knowledge of Maître and iManage Work 10 software (an asset).
- Bilingualism in spoken and written English and French is required to support lawyers with an anglophone client base.
- Client-oriented, courteous, and professional demeanor.
- Sense of responsibility, attention to detail, and organizational skills.
- Ability to manage multiple cases simultaneously and prioritize effectively.
