Your Role : As the Administrative Assistant, Business Operations and Government Relations, you will play a crucial role in supporting Business Operations.

Reporting to the Director, of Business Operations and Government Relations, you will be responsible for supporting key departments within Business Operations including IT and NBS’ retail store, The Shoe Room.

The position functions within a fast-paced, demanding office environment and encompasses a dynamic range of assigned duties, focused on administrative and operational support tasks.

This position may involve flexible hours to meet deadlines and participate in special events and committee meetings. This is a hybrid position, with the option of working remotely twice weekly.

Duties and Responsibilities : Participate in grant applications, report generation and data entry. Draft and administer surveys, government letters and requests, partner agreements and contracts.

Conduct research (market, prospective partners, vendors, best practices) and support various business development activities.

Plan and schedule meetings including travel arrangements, mailings, etc. Record and transcribe minutes for internal and external meetings;

digitize forms and key documents. Respond to emails and phone calls; prepare and distribute memos and other correspondence internally and externally and respond to questions and requests for information.

Maintain filing systems, databases, and contact lists and organize digital and hard-copy folders and files. Track payments, and process internal expense forms and external invoices.

Contribute to the improvement of processes and systems. Support special project events and activations in the community.

2 or more years of experience in an administrative or clerical role; experience in the arts and culture sector and / or in government relations considered an asset.

Ability to adhere to project schedules and deadlines. Ability to take initiative and work independently. Flexibility to take on a diverse range of assigned duties, projects and tasks with minimal supervision.

Good interpersonal skills, and demonstrated ability to work with a diverse group of stakeholders. Knowledge of MS Office ( Word, Excel, Powerpoint, Teams) Highly organized with great attention to detail.

Strong analytical skills. High calibre writing ability; strong communicator and team player. Ability to work with confidential information.

Experience in working with organizational systems such as Raiser's Edge and Qualtrics is considered an asset. Experience working in centralized government data systems such as CADAC, is considered an asset.

Fluency in French is considered an asset. Successful candidates must supply Canada’s National Ballet School with a Police Reference Check in accordance with the School’s Child Abuse / sexual abuse prevention policy;
